Integrated Operations & Clinical Support Virtual Assistant

We are a high-growth health and wellness practice seeking a proactive, culture-first VA to serve as our operational backbone. You will bridge the gap between our clinical services (lab/supplement coordination) and our digital presence (social media/CRM). If you thrive on detail-oriented logistics and have an eye for aesthetic social content, you will be a vital partner in our mission to change lives.

3. Categorized Responsibilities

Clinical & Client Coordination:

Coordinate blood draws: Find local phlebotomists for "tough case" clients and manage home-visit logistics.
Manage the supplement lifecycle: Calculate costs with discounts, communicate pricing to clients, and handle subsequent lab/supplement orders.

Maintain client charts: Upload labs from emails and process payments to cards on file.
Answer texts and emails from clients

Answer phones and handle scheduling clients

CRM & Sales Pipeline Management:

Manage lead flow: Move clients through opportunity statuses and perform "tagging projects" to categorize older leads.

Webinar support: Confirm attendees post-webinar, adjust calendar availability, and document notes in the CRM.

Logistics: Update workshop blocks, generate new links, and update scheduled texts for coverage.

Social Media & Content Creation:

Video Editing: Edit and post videos on TikTok, YouTube, and Instagram during peak EST hours.

Graphic Design: Create aesthetically pleasing thumbnails and maintain a consistent brand "look" across all labels and platforms.

Engagement: Respond to social media comments during EST hours.

Reporting & Strategy:

Performance Tracking: Conduct utilization analysis of services and report on Return on Ad Spend (ROAS) statistics.

Update the "Lives Changed" tracker and manage the client appreciation event text lists.

4. Required Technical Proficiencies

Practice Better (Calendar/Client Management)

CRM Expertise (e.g., GoHighLevel)

Social Suite: TikTok, Instagram, YouTube, and video editing tools (CapCut, Canva).

Admin Tools: DocuSign, Zoom, and Google Sheets/Excel.
