About the Firm:
North Star Law, PC is a plaintiff-side employment law firm based in Los Angeles. We represent California employees in wrongful termination, discrimination, harassment, retaliation, and wage-and-hour matters. We are a modern, technology-forward practice: our intake pipeline, case management, document drafting, and court filing workflows are built around AI-assisted systems that the firm has developed in-house. You will be trained directly by the firm’s principal attorney on these systems and will take over the day-to-day operation of workflows he currently runs himself.
About the Role:
The Intake Specialist owns the front door of the firm. You will be the first person a prospective client speaks with, and you are responsible for moving every lead from first contact through consultation to a signed retainer. The firm receives a steady stream of referrals from partner law firms and website inquiries; your job is to make sure no lead goes cold. You will work inside the firm’s intake tracking dashboard and AI-assisted follow-up system, which the principal attorney will train you on personally.
Responsibilities
• Process new intakes from referral partners and website forms: capture the caller’s name, contact information, employer, and a clear summary of the potential claims.
• Conduct initial screening calls with prospective clients — gather the key facts of a potential wrongful termination, discrimination, harassment, or wage-and-hour claim with empathy and accuracy.
• Run the firm’s follow-up pipeline: send and track text and call follow-ups through the firm’s phone platform, keep every lead’s stage current on the intake board, and know when to escalate a hot lead to the attorney.
• Schedule consultations against the attorney’s calendar and confirm appointments so consults actually happen.
• Send retainer agreements for e-signature, follow up until signed, and kick off new-client onboarding (welcome text, document request, file setup).
• Maintain clean records: log every contact attempt and outcome, keep the intake tracker accurate, and coordinate status updates with referring firms.
Qualifications
• 1+ year of experience in legal intake, sales, customer service, or a similar phone-heavy client-facing role (law firm experience a plus, not required).
• Excellent phone presence: warm, professional, and persistent without being pushy.
• Highly organized — comfortable managing dozens of open leads at different stages without dropping any.
• Comfortable learning new software quickly; the role runs on the firm’s custom dashboards and AI-assisted tools, and full training is provided.
