The Role:
We are seeking a highly organized, personable, and detail-oriented Intake & Client Relations Coordinator to become the first point of contact for prospective clients. This role is ideal for someone who excels at building rapport, asking thoughtful questions, managing large volumes of lead data, and ensuring that no opportunity falls through the cracks.
You will play a critical role in the firm's growth by handling intake calls, maintaining accurate lead records, supporting marketing initiatives, and helping convert qualified inquiries into clients. The ideal candidate is proactive, organized, and committed to delivering a concierge-level client experience.
Key Responsibilities:
-Conduct compassionate and professional intake calls with prospective clients.
-Gather detailed information regarding potential personal injury claims.
-Evaluate leads using firm-established intake criteria.
-Schedule attorney consultations for qualified cases.
-Ensure every caller receives an exceptional first impression of the firm.
Lead & CRM Management:
-Maintain accurate and organized records within the firm's CRM and case management systems.
-Track leads from initial inquiry through consultation, retention, or decline.
-Follow up with prospective clients to maximize conversion opportunities.
-Monitor lead pipelines and ensure timely communication with all inquiries.
-Keep all client and lead information complete, current, and organized.
Marketing Support:
-Assist with tracking marketing campaigns and referral sources.
-Maintain databases of referral partners and marketing contacts.
-Help coordinate outreach efforts and marketing initiatives.
-Prepare reports on lead volume, conversion rates, and other key performance metrics.
-Support the firm's online reputation by helping manage client review requests and related communications.
Administrative Support:
-Coordinate appointments and consultations.
-Communicate professionally with clients, medical providers, insurance representatives, and referral partners.
-Assist with general administrative and operational tasks that support firm growth.
-Help improve intake processes, workflows, and standard operating procedures.
Qualifications Required:
-2+ years of experience in legal intake, client services, customer success, sales, or a related role.
- Experience with CRM or case management software.
- Exceptional written and verbal English communication skills.
- Strong organizational skills and meticulous attention to detail.
- Comfortable managing multiple priorities in a fast-paced environment.
- Excellent phone presence and interpersonal skills.
Preferred:
- Experience working in a U.S. personal injury law firm.
- Experience with legal intake or client onboarding.
- Professional fluency in Spanish.
- Familiarity with legal CRM platforms such as Filevine and LawRuler

Compensation: Competitive and based on experience.
Please Note: All candidates selected for the position will complete a paid 60-day probationary period before being offered and/or transitioned into a long-term role with the firm.
