We are seeking a highly capable, detail-oriented Virtual Assistant to support a fast-paced public adjusting and property claims business. This role focuses on Property Insurance Claims, specifically involving Homeowners (fire, flood, storm damage) and Commercial property issues (roof damage, water leaks, structural concerns).
This is not a passive admin role—we are looking for a proactive, resourceful professional who can handle the complexities of the insurance restoration industry and think critically in real time.
Key Responsibilities:
1. Claims & Insurance Coordination
* Call in new insurance claims to carriers accurately and professionally
* Communicate with insurance companies regarding claim status and updates
* Gather and relay key information between client, carrier, and internal team
* Document all claim-related activity clearly and consistently
2. Administrative & Operational Support
* Convert documents (Word ? PDF) and organize files properly
* Manage and maintain digital records and documentation
* Assist with general admin tasks to keep operations running smoothly
* Handle data entry and tracking in Excel
3. Communication & Client Support
* Respond to messages,
* Use sound judgment when answering questions
* When unsure: ask, learn, and retain information quickly
* Maintain a high level of responsiveness and clarity in communication
4. Marketing & Light Design (Nice to Have)
* Create simple visuals or documents using Canva
* Assist with basic content or presentation materials if needed
Required Skills & Experience:
* Experience working with insurance claims, public adjusters, or similar industries (strongly preferred)
* Confident making phone calls and speaking with insurance carriers
* Strong English communication skills (verbal + written)
* Proficient in:
-Excel
-Microsoft Word
-PDF/document management
* Highly organized with strong attention to detail
