About the Client Operation
We operate a premiere, luxury Banquet Hall renowned for hosting high-end weddings, sophisticated corporate functions, and other large-scale events. We are committed to providing an unparalleled luxury experience for our clients. We are seeking a self-employed professional or independent agency to provide high-level administrative and marketing support services to enhance our operational efficiency and drive event bookings.

The Opportunity
We are looking to contract with an exceptionally organized, results-driven, and proactive Independent Administrative and Marketing Coordinator. This contractor will serve as a strategic support partner to the Director, focusing exclusively on the high-energy demands and detailed coordination required for luxury event bookings and operations.

This role requires a contractor who can move quickly, manage complex workflows, and maintain the glamorous, celebratory brand voice of a high-end hospitality venue.

Scope of Services & Key Deliverables
The Independent Contractor will be responsible for delivering results in the following areas on an ongoing monthly basis. The contractor determines their own methods and schedule for achieving these goals by agreed-upon deadlines.

1. Marketing Content & Social Media Deliverables
Goal: Create 20 Posts Per Month. Design, schedule, and publish a minimum of 20 high-quality social media posts monthly across relevant platforms (using tools like Canva).

Goal: Video Asset Creation. Produce engaging marketing reels/videos monthly utilizing raw media assets provided by the venue.

Tone Mastery: Ensure all created content accurately reflects the glamorous, celebratory, and luxury brand voice of the Banquet Hall.

2. Client Inquiry & Schedule Management
Goal: Scheduling Tours. Proactively manage inbound sales leads for the Banquet Hall (via email and social media) to schedule prospective client tours to meet monthly site visit targets.

Response Time. Monitor social channels and email inboxes for potential leads and inquiries, ensuring responses are sent within agreed-upon timeframes (e.g., 24 business hours).

Director Support: Act as a gatekeeper for the Director’s high-volume email communications, filtering priority sales and operational items to maximize their efficiency.

3. Event Booking & Operations Support
Booking Workflow: Facilitate the end-to-end booking workflow, including generating initial proposals and managing client files.

Contract Management: Pre-fill event contracts, organize vendor agreements, and manage the electronic signature collection process (via DocuSign).

Documentation: Maintaining meticulous digital filing systems for all event contracts, client correspondence, and vendor documentation to ensure absolute accuracy.

Recommended Qualifications & Tool Proficiency
To successfully deliver the required services, the contractor should be proficient in:

Microsoft Office and/or Google Workspace environments.

E-signature platforms (specifically DocuSign).

Graphic design tools for social media (specifically Canva).

Experience interfacing with Event CRM software is a strong bonus.

Prior experience supporting executive-level operations or sales in luxury hospitality or event settings is highly desired.
