JOB OVERVIEW

MSP Telecom & IT Sales Operations Coordinator

We are an established Managed Service Provider (MSP) seeking a highly organized, proactive, personable, and detail-oriented Telecom & IT Sales Operations Coordinator.

This role supports our telecom and IT sales operations from deal registration and order submission through provisioning, agent coordination, commissions, reporting, and lead follow-up.

We need someone who takes ownership, thinks critically, and gets things done — not someone who waits for instructions or simply reports that they are “still waiting.”

Key Responsibilities

Telecom & IT Orders / Deal Registration

- Submit telecom and IT deal registrations and customer orders through carrier, vendor, distributor, and partner portals.
- Process orders with 100% precision — accuracy is non-negotiable.
- Verify pricing, products/services, customer information, service addresses, documentation, attribution, and all order details before submission.
- Track orders through provisioning, activation, shipment, installation, or implementation.
- Maintain accurate CRM, spreadsheets, portals, and sales records.
- Coordinate quotes, contracts, approvals, documentation, and other requirements.

Verify twice, submit once. Never guess at missing information.

Proactive Follow-Up & Problem Solving

- Proactively communicate with Channel Managers, agents, customers, carriers, vendors, and distributors.
- Regularly reach out to agents and Channel Managers for deal updates.
- Identify gates and blockers preventing opportunities or orders from progressing.
- Determine what information or action is needed and proactively get it.
- Email, call, message, follow up again, or find another appropriate contact when necessary.
- Maintain clear next actions, owners, and follow-up dates.
- Make logical operational determinations independently when appropriate.
- Escalate only when a genuine management decision is required.

We don't want:

“I'm still waiting for them.”

We want:

“Here is what's blocking us, here is what I've already done, and here is the next action.”

Commissions & Agent Administration

- Compile carrier/vendor commission and residual reports.
- Reconcile commissions against customers, orders, activations, and agents.
- Determine which agents should be paid according to established compensation plans.
- Prepare organized commission payout reports.
- Track paid, pending, missing, disputed, or incorrect commissions.
- Investigate discrepancies and proactively obtain whatever information is needed to resolve them.

Management Reporting

You must be able to take a lot of information and make it easy for management to understand quickly.

- Prepare concise daily/weekly sales and operations reports.
- Highlight what changed, what matters, what's blocked, and what needs attention.
- Clearly identify next actions, owners, deadlines, and recommended actions.
- Create clean, easy-to-read spreadsheets, trackers, summaries, and reports.
- Turn complicated information into simple, actionable information instead of dumping raw data on management.
- Write clear professional emails and summaries independently.

You must be able to think, analyze, write, and summarize independently without relying on AI to do your work. AI can be a tool, but it cannot replace your own judgment, understanding, writing ability, or critical thinking.

Light Sales Development

This is not a high-pressure sales position, but you must be comfortable communicating with prospects.

- Follow up with new and existing MSP, IT, telecom, wireless, connectivity, cloud, and cybersecurity leads.
- Conduct light outbound outreach and follow-up.
- Build rapport and understand basic customer needs.
- Schedule qualified appointments for salespeople or Channel Managers.
- Maintain communication with prospects, referrals, and partner-generated opportunities.
- Make sure good leads don't disappear because nobody followed up.

- Comfortable communicating with customers, agents, vendors, technical people, and executives
- Persistent without being abrasive or annoying
- Able to adjust their communication style depending on the person and situation
- Confident and personable on the phone
- A strong written communicator
- Good at building and maintaining relationships

You should know when to send a friendly reminder, when to call, when to push harder, when to listen, and when to find another route.

Be relentless about the outcome while remaining pleasant throughout the process.

Experience with MSPs, IT services, telecom, wireless, carrier services, technology distributors, VAR/channel sales, order provisioning, deal registration, commission reconciliation, CRM, or B2B sales operations is highly preferred.

At any time, you should be able to tell management:

What's moving?
What's blocked and why?
Who are we waiting on?
What have you already done about it?
What's the next action and who owns it?
Which orders need attention?
Which agents need to be paid?
Which leads need follow-up?
What actually requires management's attention?

If someone isn't responding — follow up intelligently and find another path.
If an order is submitted — make sure it's 100% correct.
If numbers don't reconcile — investigate them.
If a lead needs follow-up — follow up.
If management needs to make a decision — bring the facts, options, and your recommended action.
