JOB OVERVIEW

???? Position Overview

We are looking for an experienced Real Estate Cold Calling Virtual Assistant with at least 1 year of hands-on experience using a CRM and MLS system. This role is focused on outbound calling, lead conversion, and consistent follow-up, while maintaining accurate systems and communication.

The ideal candidate is confident on the phone, highly organized, and comfortable using modern tools like AI and design platforms to engage and convert leads.

???? Key Responsibilities
???? Cold Calling & Lead Engagement
Conduct outbound calls to buyer, seller, and renter leads
Qualify prospects, build rapport, and move conversations toward appointments
Re-engage old, inactive, and nurture leads
Schedule consultations, showings, and loan application appointments
???? CRM Management (Required Experience)
Must have prior experience using Follow Up Boss or a similar CRM
Accurately log all calls, texts, and notes
Manage tasks, reminders, and follow-up schedules
Keep pipeline organized by lead stage (new, nurture, hot, active, etc.)
???? MLS Usage (Required Experience)
Minimum 1 year experience using MLS systems (such as FMLS, GAMLS, or similar)
Search and send property listings based on client needs
Set up automated listing alerts (“hot sheets”)
Pull basic property details and comparable listings when needed
???? Follow-Up & Lead Nurturing
Respond to inbound leads quickly during shift hours
Execute consistent follow-up via calls, texts, and emails
Confirm appointments and follow up after showings
Maintain long-term nurture campaigns for future conversion
???? AI Communication & Messaging
Use ChatGPT to create and refine messages
Personalize communication based on client situation
Handle objections and keep conversations engaging and natural
???? Marketing Support
Use Canva to create simple client-facing visuals
Send helpful graphics to explain programs or next steps
Support marketing campaigns and follow-up messaging
???? Required Qualifications
At least 1 year experience using a CRM and MLS system (REQUIRED)
Previous real estate cold calling or inside sales experience preferred
Strong communication and phone skills
Ability to manage multiple leads and tasks efficiently
Comfortable using ChatGPT or similar tools
Basic Canva/design skills
Detail-oriented with strong follow-through
