Schedule: Seasonal (January–April) or Year-Round | Flexible Part-Time or Full-Time
Compensation: Based on experience | Paid bi-weekly or per performance
???? About the Role:
We are seeking a highly organized, honest, and committed Virtual Assistant with experience in U.S. tax preparation support, client communication, and tax office workflow. This person will serve as a key player in helping Alpha Omega Tax Center serve individuals, families, and small businesses with excellence during tax season and beyond.
???? Key Responsibilities:
???? Client Communications (Inbound/Outbound)
Handle incoming calls and return voi
Call clients to confirm appointments, request missing documents, and follow up on tax return statuses
Provide clear instructions to clients about required documentation and deadlines
Text/email clients through secure systems and maintain strong customer rapport
????? Tax Process Support
Assist with intake of tax documents via secure portals or
Organize and categorize tax documentation (W-2s, 1099s, business expenses, etc.)
Review client info for accuracy and completeness before it reaches the preparer
Help manage client portals, e-file statuses, and delivery of tax returns
Track acknowledgments, rejections, and help resolve basic tax return issues
???? Scheduling & Workflow Management
Schedule consultations and return pickup appointments
Maintain accurate calendar for multiple preparers
Help manage the workflow from intake to e-file to client delivery
Coordinate digital signature and payment collection (for prep fees or compliance fees)
? Required Qualifications:
2+ years of experience in a tax office or tax preparation environment
Familiarity with U.S. tax forms and filing processes (1040, Schedule C, etc.)
Comfortable using tax software such as TaxWise, Drake, or ProSeries (training available if needed)
Strong customer service skills, both phone and written
Experience with CRMs, secure document portals, or workflow tools (e.g., TaxDome, Canopy, SmartVault, etc.)

Bilingual (Spanish/English) a plus
Knowledge of ACA/Marketplace tax forms and Earned Income Credit requirements
