About Rivo Locators
Rivo Locators is a free luxury apartment locating service operating across seven Southern US markets: Charlotte (HQ), Raleigh, Atlanta, Fort Lauderdale, Austin, Houston, and Dallas. We're migrating our CRM from Zoho to HubSpot and need an experienced hands-on specialist to lead the technical migration — not just advise on it.

The Job
We need someone who has personally executed a Zoho-to-HubSpot migration before — not just used both platforms separately. You'll own the full data and workflow transition, working directly with our leadership team.

What You'll Do
- Data Migration: Export and clean all Zoho data (contacts, deals/leads, custom objects, activity history, notes, attachments) and import into HubSpot with zero data loss and no duplicate records
- Field & Object Mapping: Map Zoho custom fields and modules to the correct HubSpot properties and objects, preserving all historical data integrity
- Workflow Rebuild: Recreate all Zoho automation (workflows, blueprints, assignment rules) as native HubSpot workflows
- Email Migration: Rebuild branded email templates and Zoho Campaigns sequences inside HubSpot Marketing
- Integration Re-Pointing: Work with our dev team to update an existing Zoho webhook integration (a Netlify serverless function that auto-creates records in our Supabase-backed Unit Finder app) to trigger from HubSpot instead
- Testing & QA: Validate every migrated workflow, automation, and integration end-to-end before go-live
- Documentation & Training Support: Document the new HubSpot setup and support light training for our market leads and AR team

Requirements
- Proven, hands-on experience migrating a company from Zoho CRM to HubSpot (please describe the scope of a past migration in your application)
- Strong knowledge of both platforms: Zoho modules/workflows/Zoho Campaigns AND HubSpot Smart CRM (properties, pipelines, workflows, marketing contacts model)
- Comfortable with data hygiene at scale — deduplication, field mapping, record cleanup
- Basic understanding of webhooks/APIs (you won't be writing the integration code, but you need to understand how CRM triggers feed external systems)
- Strong written English communication — you'll be coordinating directly with US-based leadership
- Detail-oriented and comfortable owning a project end-to-end with minimal hand-holding

Nice to Have
- HubSpot certification(s) — Sales Hub, Marketing Hub, or CRM implementation
- Real estate, property management, or lead-gen industry CRM experience
- Experience with Google Apps Script or Supabase (we have a custom internal tool these will eventually connect to)

**HubSpot Migration Qualification Test**

Role: Zoho ? HubSpot Migration Specialist | Rivo Locators
This test is meant to confirm you've actually done a Zoho-to-HubSpot migration, not just used both tools. Answer in your own words — there's no single "correct" format, we're looking for practical, hands-on knowledge. Please submit your answers along with your application. Should take most qualified candidates under 30 minutes.

Section 1: Data Migration Judgment
1a. A company has 40,000 Zoho contacts, but many are duplicates from years of manual entry and old form imports. Walk us through how you'd approach deduplication before importing into HubSpot — what tools or method would you use, and what would you check to confirm the import was clean afterward?
1b. Zoho stores a custom field called Lead Source Detail as free text (agents type things like "FB Marketplace," "fb ad," ";Facebook," "referral - Sarah"). How would you handle mapping this into HubSpot in a way that keeps reporting usable, rather than importing the mess as-is?

Section 2: Workflow & Automation Rebuild
2a. Describe a Zoho workflow or blueprint you've rebuilt natively in HubSpot before. What was it triggered by, what did it do, and what was the closest HubSpot equivalent to the Zoho feature you used?
2b. Zoho and HubSpot handle "workflow re-enrollment" (an existing record re-entering a workflow when a condition is met again) differently. In your own words, what's the key difference to watch for, and what problem can it cause if you don't account for it during a migration?

Section 3: Integrations & Webhooks
3a. A custom integration currently listens for a webhook fired by Zoho whenever a lead's status changes to a specific value, and that webhook triggers an external system to create a new record automatically. If we were re-pointing that same trigger to fire from HubSpot instead, what would you need from us (the dev team) to make that swap safely, and what would you personally test before trusting it in production?
3b. Have you worked with HubSpot's native webhook/workflow actions before (not just Zapier/Make middleware)? Briefly describe the use case.

Section 4: Marketing Contacts & Billing
4a. HubSpot's Marketing Contacts model charges based on how many contacts are marked "marketing" vs. non-marketing. Explain in plain language what this means for a company migrating a large, mixed-quality Zoho contact database, and what you'd do during migration to avoid an unexpected billing spike.

5a. What's the biggest thing that went wrong (or nearly went wrong) in a past Zoho ? HubSpot migration you worked on, and how did you catch or fix it?
5b. In one or two sentences, what's your honest estimate of how long a migration like this (mid-size company, ~7 offices, custom integrations, several thousand records) typically takes from data audit to full cutover?
