Role Overview
We are seeking a proactive Virtual Operations Assistant to support day-to-day business operations. This role blends administrative support with guest and vendor communication, requiring strong organizational skills, excellent written/verbal communication, and the ability to manage multiple priorities at once. You will act as a central point of contact for guests, vendors, and property owners, ensuring smooth operations across the business.
Key Responsibilities
Guest Communications: Promptly respond to guest inquiries, requests, and issues throughout the day, ensuring a high standard of customer service.
Vendor Coordination: Manage communication with vendors and contractors for cleaning, maintenance, and repairs. Schedule and confirm services as needed.
Maintenance Requests: Receive, log, and coordinate responses to maintenance concerns, following up until resolved.
Leasing Operations: Assist with setting up leases, ensuring accuracy and timely processing.
Payments & Admin Tasks: Process payments to vendors and track expenses as directed.
Lead Sourcing: Identify, track, and place prospective tenant leads into appropriate systems.
Daily Operations Support: Support the business owner with administrative needs, project tasks, and communication management.
Qualifications
Required: Previous experience in real estate or hospitality operations, administrative support, or customer support.
Strong written and spoken English; high proficiency is a must.
Experience managing multiple communication channels
Highly organized, detail-oriented, and able to manage competing priorities.
Proactive problem-solver who takes initiative to resolve issues.
Comfortable working independently in a remote environment.
Tech-savvy with the ability to learn new platforms quickly (experience with property management software, booking platforms, or project management tools is a plus).
Preferred Skills
Familiarity with tools like Slack, Google Workspace, Xero, and Notion.
Customer-first mindset with proven success in a service-oriented role.
