Hours: 40 hours per week
Schedule: Monday–Friday, U.S. Eastern Time
Pay: $4–$6 USD/hour, negotiable for an exceptional candidate
Position: Full-Time, Long-Term
Additional Opportunity: Paid on-call coverage for a separate flat stipend
We are a U.S.-based home care company looking for an exceptional Scheduler / Client & Caregiver Coordinator to become an important part of our team.
This is not a simple data-entry position.
You will communicate directly by phone with our clients, caregivers, and U.S.-based office staff. You will help manage daily schedules, solve coverage issues, communicate changes, and make sure our clients receive dependable care.
We are looking for someone who is calm under pressure, highly organized, professional on the phone, and excellent at managing multiple priorities at once.
What You'll Do
Your responsibilities will include:
Manage and maintain caregiver and client schedules using VIV
Communicate with caregivers regarding schedules, availability, call-outs, and changes
Communicate professionally with clients and their families
Work closely with U.S.-based office staff
Help fill open shifts and resolve scheduling conflicts
Respond quickly when caregivers call out or schedules unexpectedly change
Confirm schedules and communicate changes accurately
Maintain accurate notes and scheduling information
Identify potential scheduling problems before they become emergencies
Prioritize urgent issues while continuing to manage routine responsibilities
Follow up consistently until scheduling issues are resolved
Additional Paid On-Call Opportunity
The successful candidate will also be given the opportunity to cover some after-hours/on-call scheduling periods for an additional flat stipend.
On-call responsibilities may include responding to caregiver call-outs, urgent scheduling changes, client or caregiver calls, and coordinating replacement coverage when necessary.
This compensation is separate from the regular hourly rate and will be paid as a flat stipend for the agreed-upon on-call coverage period.
What We're Looking For
Excellent spoken English is required.
Because you will regularly speak with American clients, caregivers, and office staff, you must have impeccable telephone communication skills.
The right person will also be:
Extremely organized
Dependable and punctual
Comfortable making and receiving frequent phone calls
Able to multitask without losing attention to detail
Able to determine what is urgent and what can wait
Calm and professional when dealing with stressful situations
Comfortable solving problems independently
A strong listener
Detail-oriented
Comfortable learning new technology
Able to communicate difficult or unexpected information professionally
Willing to take ownership of a problem and follow it through to resolution
Previous experience with home care, healthcare scheduling, caregiver scheduling, staffing, dispatching, customer service, or call-center work is strongly preferred.
Experience with VIV is a major plus, but we are willing to train an exceptional candidate who has the right scheduling and communication skills.
Technology Requirements
You must have:
Reliable high-speed internet
A dependable computer
A quiet, professional work environment
Reliable backup internet or a backup plan for outages
A quality headset suitable for frequent phone conversations
How to Apply
Please send the following:
A short introduction explaining why you would be a good fit for this position.
Your previous experience with scheduling, healthcare, customer service, or telephone-based work.
The scheduling or CRM software you have previously used.
Your desired hourly rate.
Confirmation that you can consistently work 40 hours per week during U.S. Eastern Time business hours.
Whether you would be interested in earning additional compensation by covering occasional after-hours/on-call periods.
A 60–90 second voice recording introducing yourself and describing a difficult customer or scheduling situation you successfully handled.
Please begin your application with the words “CLIENTS FIRST” so we know you carefully read the entire job posting.
Scenario Question
Please also answer this question in your application:
It is 8:05 AM. A caregiver calls and says she cannot make her 9:00 AM shift with a client. At the same time, another caregiver is calling you about tomorrow's schedule, an office employee sends you a message asking for information, and you have three unread emails. What would you do first, and how would you handle the situation?
We are looking for someone interested in becoming a long-term member of our team, not someone looking for a temporary position.
If you communicate exceptionally well, enjoy solving problems, and take pride in keeping people organized and informed, we'd like to hear from you.
