JOB OVERVIEW

We are a growing U.S.-based home care agency seeking a dependable, professional, and proactive Home Care Operations Coordinator / Scheduler to support our daily operations.

This is not a basic data-entry VA role. We need someone who communicates extremely well in English, sounds professional on the phone, thinks critically, solves problems, and can help keep the agency running smoothly.

Responsibilities include answering incoming calls, making outbound client and caregiver follow-up calls, assisting with scheduling and open shifts, checking in on clients, responding to routine emails and messages, updating records, documenting calls, confirming schedules, and helping resolve day-to-day operational issues.

Experience with U.S. home care, home health, healthcare administration, scheduling, WellSky Personal Care/ClearCare, CRM/EHR systems, or VoIP phone systems is highly preferred.

We are looking for someone who:

Speaks excellent conversational English
Is warm, professional, and confident on the phone
Writes clear professional emails and messages
Can work U.S. Eastern Time business hours
Is organized and dependable
Takes initiative instead of waiting for every instruction
Can identify a problem, investigate it, and recommend a solution
Has reliable internet, a professional headset/workspace, and preferably backup internet/power
Wants a long-term position with a growing company

HOW TO APPLY

Start your application with the words CLIENT FIRST.

Please include:

Your resume and relevant experience.
A 60–90 second Loom video introducing yourself and explaining your experience.
In your Loom video, answer this scenario:
A client calls because their caregiver was supposed to arrive at 9:00 AM. It is now 9:15 AM and nobody has arrived. How would you handle the call and situation?
Answer this written scenario:
A caregiver calls out at 7:30 AM for an 8:00 AM–4:00 PM shift. Explain exactly what you would do next, step-by-step.
Write the short message you would send to the client while working to resolve the call-out.
Tell us whether you have experience with WellSky/ClearCare, home care scheduling, healthcare, CRM/EHR systems, or VoIP phone systems.
Tell us your internet speed and whether you have backup internet and backup power.

We are looking for someone who can eventually take ownership of routine operational tasks and help leadership spend less time managing daily administrative issues.
