About the Role
We are a fast-paced, multi-state logistics and fleet management organization seeking a methodical, highly detailed, and mechanically inclined Fleet Maintenance Coordinator.
Our operational fleet relies heavily on Toyota Corolla Hybrids. In this role, you will act as the technical "brain" supporting our physical staff mechanic. The mechanic is on the ground physically touching the vehicles—you are not. Your primary mission is to direct where the mechanic goes, research complex diagnostic trouble codes (P-Codes), source parts, negotiate local shop quotes, and strictly verify that every assigned job is 100% completed before a vehicle returns to service.
This position calls for a systems-driven, rule-following, and detail-obsessed technical coordinator who takes pride in data accuracy and thrives in structured, process-oriented workflows.

Key Responsibilities
Mechanic Dispatch & Schedule Control: Build and manage daily/weekly task schedules for our on-staff mechanic, directing exact vehicle locations and maintenance priorities.
Remote Troubleshooting & Diagnostic Research: Serve as the mechanic’s remote technical advisor. Research OBD-II scanner codes (P-Codes), repair guides, and technical service bulletins (TSBs) to assist the mechanic in resolving issues (from headlight and sensor replacements to hybrid system maintenance).
Job Quality & Completion Verification: Track every open maintenance ticket end-to-end. Verify that the mechanic has fully addressed the core issue, uploaded photos/logs, and marked the job 100% complete.
Parts Procurement & Shop Quotes: Source, negotiate, and order OEM/aftermarket replacement parts. Call local repair shops, tire centers, and dealerships to get competitive quotes for warranty work, recalls, or specialized repairs.
Software Precision & Real-Time Logging: Maintain meticulous records of parts invoices, labor hours, maintenance logs, and vehicle status updates in our fleet management software.
Required Qualifications & Skills
Mechanical Expertise: Strong practical understanding of vehicle mechanics, electrical sensors, engine systems, and OBD-II scanner trouble codes (P-Codes).
Toyota Hybrid Specialization: Direct familiarity with Toyota Corolla Hybrid powertrains, sensor setups, and routine service requirements.
High Technical Precision: Meticulous approach to data entry, record-keeping, and process documentation.
Assertive Follow-Through: Driven to follow up relentlessly until tasks are verified as completed.
C2 Spoken & Written English: Excellent, clear, and assertive communication skills for frequent telephone calls with vendors, parts suppliers, and dealership service desks.
