Position Overview:
We are seeking a highly organized and detail-oriented Virtual Assistant (VA) with proven experience in grant research, writing, and compliance management. The ideal candidate will support our growing portfolio of grants across behavioral health, substance use disorder (SUD) treatment, primary and urgent care, ketamine-assisted therapy, and integrated medicine. This role requires strong analytical, administrative, and communication skills to ensure all grant activities align with organizational goals and funder requirements.
Key Responsibilities:
1. Grant Research & Prospecting
• Identify and evaluate funding opportunities from federal, state, local, and private foundations.
• Maintain a grant calendar and funding database, tracking deadlines, eligibility, and submission requirements.
• Conduct research on potential funders aligned with mental health, SUD, and integrated medicine programs.
• Summarize grant opportunities into concise briefs for leadership review.
2. Grant Writing & Proposal Development
• Assist in drafting, editing, and formatting proposals, letters of intent (LOIs), and concept papers.
• Support collection and organization of data, budgets, and narratives from internal departments.
• Proofread and ensure compliance with RFP/NOFO guidelines and formatting requirements.
• Collaborate with the leadership and clinical teams to align narratives with mission and impact goals.
3. Compliance & Reporting Support
• Maintain compliance tracking tools and post-award reporting schedules.
• Support preparation of progress reports, budget justifications, and audit documentation.
• Ensure all submissions meet internal and external deadlines, formatting standards, and funding requirements.

• Schedule and coordinate meetings with internal and external partners related to grant activities.
• Manage file organization in shared drives and ensure secure, version-controlled documentation.
• Create templates, trackers, and checklists to support efficiency and accountability.
• Maintain confidentiality and data integrity across all projects.
Qualifications
Required:
• Minimum 2 years of experience supporting grant writing or compliance functions in health, human services, or nonprofit settings.
• Strong understanding of grant research tools (e.g., GrantWatch, Foundation Directory Online,
• Proficiency in Microsoft Office, Google Workspace, and cloud-based project management platforms (e.g., Trello, Airtable, Asana).
• Exceptional attention to detail, time management, and written communication skills.
• Ability to handle multiple projects with competing deadlines.
Preferred:
• Experience working with programs related to mental health, substance use disorder, primary care, or integrative medicine.
• Familiarity with HRSA, SAMHSA, DOL, and state health department funding streams.
• Knowledge of federal grant compliance requirements (2 CFR 200, GPRA, etc.).
• Prior experience with data collection and outcome reporting.
• Bachelor’s degree in public health, communications, business administration, or related field preferred.

Hours
• Schedule: Flexible, 10–20 hours per week to start, with potential for expansion as project load increases.
• Remote Work: 100% virtual with periodic check-ins via Zoom or project management platforms.
