Position Summary
The HR Operations & Compliance Coordinator is a key member of the Human Resources team responsible for supporting a broad range of HR functions across the employee lifecycle, including onboarding, benefits administration, policy administration, compliance, and day-to-day HR operations. This is a true HR generalist role suited for a dynamic professional who can balance operational execution with thoughtful employee support.
The Company’s HR function operates within its broader Legal and Compliance structure under the oversight of the General Counsel. In this role, the Coordinator will work closely with the HR Manager, General Counsel, legal team, and other internal stakeholders to help ensure HR processes are efficient, consistent, and compliant.
Although broad in scope, this role places particular emphasis on employee relations, leave management, and compliance. The ideal candidate will be skilled at navigating sensitive workplace matters, supporting investigations and conflict resolution, managing leave and accommodation processes, and exercising sound judgment when handling confidential and complex employee issues.
Essential Duties and Responsibilities
Employee Relations Support
> Assist with employee relations investigations and fact-finding conversations under the direction of the HR Manager.
> Take detailed and objective notes during employee meetings and investigations.
> Prepare written summaries and employee statements in a neutral and factual manner.
> Conduct timely follow-up with employees, managers, and other stakeholders as directed.
> Organize and maintain investigation files and legal documentation.
> Track employee relations matters and maintain case management records.
Leave of Absence Administration
> Assist with administration of leave requests, including medical leave, maternity leave, and other protected leaves.
> Respond to leave-related inquiries and provide appropriate notices and paperwork based on the employee's situation.
> Track completion and return of required documentation.
> Maintain accurate leave records and monitor deadlines.
> Coordinate with onshore and offshore support teams to ensure timely processing.
ADA Accommodation Process
> Support the interactive accommodation process under the supervision of the HR Manager.
> Review accommodation requests and supporting medical documentation.
> Validate receipt and completeness of physician certifications and related documentation.
> Track accommodation requests and maintain required records.
> Coordinate communications with employees, managers, and third-party providers as needed.
Compliance & Training Administration
> Maintain compliance training records and generate weekly training reports.
> Verify employee compensation for required training has been processed appropriately.
> Follow up with managers regarding overdue training requirements.
> Coordinate annual labor law poster compliance and distribution.
> Assist with implementation and tracking of compliance initiatives.
HR Operations & Administration
> Issue company communications related to payroll schedules, holidays, office closures, and other operational updates.
> Assist with onboarding and administration of independent contractors and 1099 engagements.
> Coordinate ad hoc background screening requests for healthcare professionals and other specialized positions.
> Assist with annual performance review administration and tracking.
Employment Eligibility & Compliance
> Maintain working knowledge of Form I-9 requirements and employment eligibility verification procedures.
> Provide guidance and training support to offshore team members regarding I-9 processing.
> Assist with E-Verify administration and maintenance.
> Support audits and compliance reviews related to employment eligibility documentation.
Benefits Administration
> Assist with benefits administration activities, including government contract-related benefit requirements.
> Support annual Open Enrollment activities.
> Assist with 401(k) enrollment and administrative processes.
> Maintain PTO administration systems and employee records.
Policy & Process Support
> Under the guidance of the HR Manager, assist with interpreting company policies and applicable employment laws.
> Provide administrative support for policy implementation and compliance initiatives.
> Identify opportunities for process improvements and recommend efficiencies to enhance HR operations.
Qualifications
> 3+ years of progressive experience in Human Resources, Employee Relations, Leave Administration, Benefits, Compliance, or HR Operations.
> Strong working knowledge of leave administration, ADA accommodations, employee relations practices, I-9 compliance, and general employment law; experience supporting multi-state employers is preferred.
> Demonstrated ability to handle sensitive, complex, and highly confidential matters with professionalism, discretion, and sound judgment.
> Strong investigative, analytical, and problem-solving skills, with the ability to assess facts, identify risks, and escalate issues appropriately.
> Excellent written, verbal, and interpersonal communication skills, with the ability to communicate effectively across all levels of the organization.
> Strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
> Experience working with HRIS platforms, case management systems, and Microsoft Office or Google Workspace applications, including strong Excel and documentation skills.
> Ability to work independently, exercise good judgment, and collaborate effectively with HR, management, and legal stakeholders.
Reporting Relationship
This position reports directly to the Benefits & Business Operation Manager and works closely with the Human Resources leadership team and the Company’s General Counsel on employee relations, compliance, and other sensitive HR matters.
