JOB OVERVIEW

This is not a gig or a short-term contract.
This is a mission-critical seat on a fast-growing digital agency team.

You will own system architecture, onboarding, automation, AI-powered workflows, and reporting across all client accounts.

We are hiring one top-tier VA who can operate like a SaaS architect — combining HighLevel mastery with real AI implementation experience.

What You’ll Own
Your mission is to deploy scalable, conversion-ready, AI-augmented systems that drive client results, improve retention, and enable recurring revenue.

Core Responsibilities

1. Onboarding System Setup
• Sub-account creation (from scratch or snapshot)
• Domain, SMTP, Twilio, Stripe/PayPal setup
• Branding upload, business hours, calendar, and time zone configuration

2. A2P 10DLC Compliance
• Register brand and campaigns
• Set fallback SMS workflows
• Educate clients on compliance and opt-out policies

3. Funnels & Landing Pages
• Design responsive pages
• Install tracking (Meta Pixel, TikTok, GA4)
• Add forms, thank-you pages, and lead magnet delivery workflows

4. AI Workflows & Chatbots
• Deploy HighLevel AI Assistant across client accounts
• Create intelligent response workflows
• Train bots on FAQs, offers, and client data
• Integrate external AI tools (OpenAI, Claude, Zapier AI)

5. Automation Logic
• Email and SMS nurture sequences
• Form/missed call/booking triggers
• Pipeline movement, cart abandonment, personalization logic

6. Calendar Management
• Build and sync calendars with Google/Outlook
• Configure availability, reminder settings, and workflow triggers

7. Reporting & Analytics
• Setup GA4, GTM, Facebook Conversion API
• Build and maintain HighLevel dashboards
• Deliver monthly reports and performance insights

8. CRM Customization
• Configure smart lists, tags, and custom fields
• Design pipelines and task routing logic

9. Email Marketing
• Import contact lists and warm up domains
• Build welcome, nurture, and newsletter campaigns
• Run A/B tests on subject lines and CTAs

10. Client Enablement
• Record Loom walkthroughs
• Build branded SOPs
• Maintain knowledge base and drive access

11. Growth Optimization
• Monitor client system health
• Propose upsells and improvements (SaaS Mode, Reputation Management, etc.)
• Stay current with HighLevel + AI releases and feature rollouts

You must be confident using the following:
• HighLevel full suite (Workflows, Funnels, Calendars, SaaS Configurator, Memberships, CRM, AI Assistant)
• AI Tools (OpenAI, Claude, Zapier AI, HighLevel AI, Typeform Logic)
• Infrastructure: Mailgun, Twilio, Stripe, Google Workspace, Cloudflare
• Automation & Design: Zapier, Pabbly, Figma, Canva, Google Sheets
