JOB OVERVIEW

Hey there! We are a growing trade/service business, and we're looking for a reliable, detail-oriented Virtual Assistant to join our team long-term and keep our day-to-day operations running smoothly.

You’ll work directly with us to stay on top of estimates, invoicing, permits, and customer docs so our field team can focus on what they do best.

What You’ll Be Doing:

Keeping our daily ops organized and supporting our team with admin work

Preparing and sending out invoices, quotes, estimates, and customer paperwork

Managing files, customer records, and internal documentation

Handling permit applications and tracking down rebate-related tasks

Helping us draft and post simple social media updates when needed

What We’re Looking For:

REQUIRED: Hands-on experience in HVAC or a similar trade/service field (roofing, plumbing, construction, property management, real estate, etc.)

Strong written and spoken English—clear communication is super important to us

Solid experience as an Administrative VA or similar role

Sharp attention to detail—you don't let small details slip through the cracks

Ability to take ownership of your tasks and manage your time without being micromanaged

Direct experience handling permit processing or rebate paperwork

Comfort using CRM software and modern AI tools (a major plus!)

Work Setup:

Full-time (40 hours/week)

Night shift in the Philippines (US business hours)
