We are a U.S.-based federal government contracting company seeking a highly organized, proactive, and experienced Virtual Assistant to support our government contracting, contract administration, compliance, and business development activities.
This is NOT a general administrative VA position. We are specifically looking for someone who has experience supporting a U.S. government contractor or has strong knowledge of the federal contracting environment.
The ideal candidate is resourceful, detail-oriented, comfortable researching independently, excellent at following up, and able to keep multiple deadlines and action items moving without constant supervision.
This is a long-term opportunity with the potential for increased responsibility as you become familiar with our company and contracts.
Responsibilities
Government Contracting & Contract Administration
*Track government contracts, task orders, modifications, deliverables, option periods, and important deadlines
*Maintain organized and audit-ready electronic contract files
*Maintain contract action-item, milestone, and deliverable trackers
*Assist with tracking CLIN funding, expenditures, invoicing, and burn rates
*Review contract documents and identify administrative requirements, deadlines, and outstanding items
*Maintain calendars and reminders for contract-related deadlines
*Follow up internally and externally on outstanding contract documentation and action items
Compliance & Reporting
*Assist with
*Support GSA MAS contract administration and Sales Reporting Portal requirements
*Track representations, certifications, registrations, and other recurring compliance requirements
*Maintain organized compliance documentation
*Assist with subcontractor documentation, including W-9s, certificates of insurance, and other required records
*Help prepare documentation requested by contracting officers, consultants, accountants, and other professional advisors
Government Opportunity Research & Business Development
*Search
*Identify RFIs, Sources Sought notices, RFQs, RFPs, and other potential opportunities
*Download, organize, and summarize solicitation documents
*Maintain a government contracting opportunity/pipeline tracker
*Track questions, amendments, due dates, and proposal deadlines
*Assist with organizing past performance information, capability statements, resumes, and other proposal materials
*Conduct basic agency, competitor, and opportunity research as requested
*Assist with proposal coordination and submission preparation
Financial & Administrative Coordination
*Maintain invoice and payment trackers
*Track submitted, outstanding, and paid invoices
*Follow up on receivables and outstanding documentation as directed
*Organize supporting documentation for our accounting and professional services teams
*Maintain organized records and trackers in Excel and our company systems
Required Qualifications
You MUST have:
*Previous experience supporting a U.S. government contractor OR significant knowledge of U.S. federal government contracting
*Familiarity with
*Strong Microsoft Excel skills, including formulas, trackers, and reporting
*Excellent written and spoken English
*Excellent internet research skills
*Strong organizational and document-management skills
*Exceptional attention to detail
*Ability to manage multiple deadlines and follow-ups
*Ability to work independently and proactively
*Ability to handle confidential business and financial information professionally
*Reliable internet connection and computer
*Ability to overlap with U.S. Eastern Time
Preferred Experience
Strong preference will be given to candidates with experience in:
*GSA Multiple Award Schedule (MAS)
*GSA eBuy
*OASIS+, GWACs, IDIQs, or task-order contracts
*FAR/DFARS
*Federal proposal coordination
*Government contract compliance
*Contract modifications and closeouts
*CLIN and funding tracking
*Government contracting opportunity/capture tracking
*SharePoint, ShareFile, Microsoft 365, or similar document-management systems
Work Schedule
Full-time — 40 hours per week
Must be available for regular overlap with U.S. Eastern Time. The exact working schedule can be discussed based on experience and business needs.
