Job Purpose
The Governance Administrator is responsible for supporting the effective delivery, governance, and compliance of training and workforce development activities. The role ensures that learning systems, records, and documentation are accurate, aligned, and compliant with organisational standards, Workforce Development policies, and external regulatory requirements. The role also provides strong administrative and governance support across stakeholders.
Key Responsibilities
Training Governance & Compliance
· Ensure all teams are allocated the correct mandatory and role-specific training courses, including monitoring and maintaining correct refresher periods.
· Ensure compliance with Workforce Development policies and internal governance frameworks.
· Ensure training systems, records, and processes are aligned with internal requirements and external regulatory standards.
· Support audits and compliance reviews by providing accurate records, reports, and supporting documentation.
Learning Management System (LMS) Administration
· Set up and manage training events on the Learning Management System (LMS), ensuring alignment with approved templates and governance standards.
· Upload, maintain, and align training materials, knowledge assessments, attendance records, and completion data.
· Prepare and upload knowledge assessments once completed, ensuring proper version control and audit readiness.
· Run LMS, training, and compliance reports for management and governance reviews.
Training Delivery & Scheduling Support
· Ensure trainers complete attendance registers accurately and in full after each training session.
· Follow up with trainers to resolve missing, incomplete, or incorrect documentation in a timely manner.
· Schedule training events, including booking venues, coordinating logistics, and inviting trainers.
· Set up and manage training events in the shared training Outlook calendar, ensuring accuracy and visibility.
Governance & Administrative Support
· Attend governance, workforce development, and compliance meetings via Microsoft teams.
· Take accurate and professional meeting minutes, clearly capturing discussions, decisions, and action points.
· Finalise and distribute meeting minutes within agreed timelines.
· Maintain action trackers and follow up on outstanding actions.
· Ensure governance documentation (policies, procedures, minutes, reports) is consistently formatted, aligned to approved templates, version-controlled, and audit-ready.
· Maintain an organised and up-to-date central repository of governance and training documentation.
Key Skills & Competencies
· Strong administrative and organisational skills with high attention to detail
· Excellent written communication and minute-taking skills
· Experience working with Learning Management Systems (LMS)
· Understanding of governance, compliance, and audit requirements
· Ability to manage multiple tasks and meet deadlines
· Strong stakeholder coordination and follow-up skills
· Proficient in Microsoft Office (Word, Excel, Outlook), including reporting and calendar management
Qualifications & Experience
Essential:
· Graduate in Business Administration, Management, Commerce, Arts, or a related discipline
· Experience in an administrative, governance, training, or compliance support role
· Experience maintaining accurate records and preparing reports
Desirable:
· Experience working with LMS platforms ( UK or USA)
· Experience taking formal meeting minutes
· Exposure to regulated or compliance-driven environments
