We are a fast-growing US-based startup building out our core Acquisition Department. We are seeking 3 experienced, detail-oriented, and highly motivated Virtual Assistants who specialize in US Government Contracting, Public Sector Procurement, Bid Management, and Technical Proposal Writing.

If you have experience navigating SAM.gov, drafting winning RFPs/RFQs, managing vendor relationships, or driving public sector procurement operations, we want to hear from you!

We are hiring for 3 specialized roles (Full-Time or Part-Time options available):

ROLE 1: BID & OPPORTUNITY SOURCING SPECIALIST
==================================================
Responsibilities:
- Daily monitoring and sourcing of federal, state, and local government opportunities (SAM.gov, BidNet, PlanetBids, OpenGov, etc.).
- Reviewing solicitation guidelines, eligibility requirements, and deadline tracking.
- Pre-qualifying bidding opportunities and maintaining our opportunity pipeline/CRM.
- Assisting with vendor registrations and compliance documentation.

ROLE 2: PROPOSAL WRITER & BID COMPLIANCE EXPERT
==================================================
Responsibilities:
- End-to-end proposal creation for RFPs, RFQs, IFBs, and ITBs.
- Reviewing solicitation SOWs (Scope of Work) and drafting compliant, high-scoring responses.
- Writing capability statements, technical execution plans, quality control protocols, and past performance summaries.
- Collaborating with management to ensure all bid submissions are complete, compliant, and submitted ahead of deadlines.

ROLE 3: PROCUREMENT & VENDOR MANAGEMENT ADMIN VA
==================================================
Responsibilities:
- End-to-end procurement support: Sourcing suppliers, issuing RFQs, requesting quotes, and generating Purchase Orders (POs).
- Communicating with vendors, negotiating pricing, following up on lead times, and tracking deliveries.
- Managing project documentation, inventory records, and supplier database upkeep in Google Sheets / Excel.
- Providing general administrative and executive coordination support to keep daily operations running smoothly.

- Proven experience supporting US Government Contractors, B2B Procurement, or Public Sector Bidding.
- Strong command of written and spoken English (C1 or C2 level preferred).
- Hands-on experience with tools such as SAM.gov, Google Workspace, MS Excel/Word, Canva, or CRM platforms.
- High attention to detail, accuracy, and strong organizational skills.
- Self-starter mindset—able to work independently and manage deadlines with minimal supervision.
