We are looking for an experienced GoHighLevel (GHL) Operations and Customer Care Virtual Assistant to join our growing team.
This is a long-term, full-time role with an Australian business that helps personal trainers build successful fitness businesses.
We are not looking for a basic VA.
We are looking for someone who is:
1. Highly organised and detail orientainted
2. Proactive and loves responding to customer needs
3. Proficient and confident using CRM systems (especially GoHighLevel)
4. Able to manage multiple tasks and systems
5. Confident with building new processes on platforms like Claude Ai

We are Trainer HQ, a business coaching company based in Australia.
We work with personal trainers across Australia and internationally, helping them grow their businesses through the right structure, systems, and suppport.
This role is critical in helping us deliver a great experience to our clients.
What You Will Be Doing
Your responsibilities will include:
- CRM & Operations (GoHighLevel / MxP)
- Managing contacts and pipelines
- Updating lead stages and tagging
- Managing workflows and automations
- Supporting client onboarding
Admin & Reporting
- Updating Google Sheets and dashboards
- Tracking sales and client sign-ups
- Preparing daily and weekly reports
Client Support
- Responding to admin messages from active clients
- Supporting onboarding and client experience
- Making occasional customer care phone calls
General Tasks
- Calendar management
- Appointment support
- Assisting with events (live and online) and launches
Required Skills
You must have:
- Experience using GoHighLevel (GHL)
- Strong organisation and attention to detail
- Exceptional written and spoken English (this is critical for phone calls)
- Ability to follow and create new systems and processes
- Experience in using Ai (Chat GPT and Claude) to improve processes and operations
- Extensive experience with Google Sheets and Googe Drive
Bonus Skills (Highly Valued)
- Building GHL workflows and automations
- Zapier or similar experience
- Customer support or call experience
Work Schedule
- Full-time role
- Monday to Friday
- Must be available during Australian business hours (AEST) 9am-5pm
Salary
$1,500 – $2,500 AUD per month
(based on experience and performance)
