POSITION SUMMARY
The Global Virtual Assistant provides administrative and operational support to executive leadership. This role is responsible for managing schedules, coordinating team workflows, supporting meetings and events, and ensuring day-to-day administrative functions run smoothly. The ideal candidate is organized, proactive, detail-oriented, and able to manage multiple priorities in a professional environment.
This position is 100% remote.

RESPONSIBILITIES
- Manage executive calendars, scheduling, and meeting coordination; proactively resolve conflicts and protect executive priorities.
- Act as gatekeeper and primary liaison between executives, employees, clients, and external partners.
- Screen, prioritize, and respond to communications including
- Provide administrative support including document preparation, correspondence drafting, presentation creation, and report preparation.
- Coordinate internal workflows, track deadlines, follow up on action items, and ensure completion of deliverables.
- Organize logistics for meetings, board sessions, events, and conferences including venue coordination, materials preparation, and budget tracking.
- Arrange travel plans, itineraries, and accommodations as needed.
- Prepare meeting agendas, capture minutes, and document key decisions and action items.
- Maintain organized digital and physical filing systems, SOPs, and documentation for easy retrieval.
- Track data and reporting requirements as assigned.
- Support recruitment coordination including interview scheduling and follow-ups.
- Conduct research and provide summaries to support business initiatives.
- Assist with expense reporting and other operational administrative tasks.
- Manage special projects and additional duties as assigned.
- Handle sensitive and confidential information with discretion.
COMPETENCIES
- Proven experience in an administrative or executive assistant role.
- Strong organizational, time management, and prioritization skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Strong attention to detail and follow-through.
- Proficiency with calendar management,
- Ability to work independently while coordinating across teams.
- High level of professionalism and confidentiality.
