JOB OVERVIEW

We are seeking a highly experienced Virtual Assistant to take full ownership of our customer support and CRM automation systems. You will be managing our GoHighLevel platform, handling live client interactions, and keeping our backend structure running smoothly and professionally.

This is not a training role. We are looking for someone with hands-on experience, ready to hit the ground running.
WORK HOURS
You must be available to work Monday through Friday, 9:00 AM to 5:00 PM Eastern Standard Time (EST).

YOUR CORE RESPONSIBILITIES

1. Customer Service (Primary Responsibility)
Speak directly with clients via phone, text, and instant messaging platforms (Tidio, SimpleTalk).
Answer emails with clarity, professionalism, and promptness.
Assist clients with service-related questions, concerns, or updates.
Be the human face and voice behind our brand.

2. CRM Systems & Automation (GoHighLevel)

Build, update, and manage automation workflows for email and SMS.
Organize pipelines, tags, and campaign flows.
Maintain backend systems to ensure efficiency, accuracy, and ease of use.
Troubleshoot any CRM issues and proactively suggest improvements.

3. Client Onboarding

Set up clients using onboarding forms and PandaDoc for contracts.
Manage and track client data through Google Sheets and GoHighLevel.
Ensure automations and notifications trigger correctly throughout onboarding.

4. Community & Content Engagement

Distribute newsletters and updates using GoHighLevel.
Post insights and resources in Facebook and ---------- communities.
Keep our community engaged with meaningful, value-driven content.

5. Review & Reputation Management

Collect and track reviews via Google, Yelp, and TrustPilot.
Resolve feedback concerns with care and professionalism.
Support our mission to build and maintain a trusted brand reputation.

? REQUIRED EXPERIENCE
Expert-level knowledge of GoHighLevel CRM is mandatory
Minimum 2 years experience in customer service
Excellent written and spoken English communication
Strong problem-solving and critical thinking skills
Comfortable handling both technical systems and human interaction
Familiarity with the following is a plus:

PandaDoc
Google Sheets
Tidio / SimpleTalk
Skool Platform

Facebook
Groups
WordPress and graphic design tools (bonus)

Salary: $1,000/month (approx. $6/hour)
Schedule: Full-Time, Remote | 9AM–5PM EST, Monday–Friday
