Praxis Partners runs digital operations inside mid-market businesses. We are looking for a GHL contractor who knows the platform deeply, builds custom integrations against the API, works independently, and documents everything. This is a long-term remote engagement for someone who thrives on clean execution, reliable code, and a well-organised tool stack.
The role:
You will own the day-to-day administration of our GoHighLevel environment at both agency and sub-account level, and you will build and maintain custom integrations against the GHL API v2 and Marketplace. That means user management, workflow maintenance, pipeline and field administration, inbox hygiene, AI Employee monitoring, plus OAuth app development, webhook pipelines, and token management connecting GHL to our external stack.
This is a combined administration and development role. You receive a brief, ask one round of clarifying questions, then deliver. You run a known stack reliably and you extend it with custom integration code where native features fall short.
You will report to the Head of Technology. Overlap with WITA business hours is required.
What you will do:
Administration
Maintain the agency-level GHL environment: users, permissions, sub-account structure, snapshot library, and agency wallet monitoring
Administer assigned client sub-accounts: settings, pipelines, contact tags, custom fields, custom objects, Smart Lists, and inbox hygiene
Update and QA workflows in the node-based visual builder before deploying to live contacts, including conditional logic, Go-To steps, delinked nodes, and re-entry rules
Build standard workflows to brief: lead capture, appointment confirmations, missed call text-back, review requests, and client onboarding sequences
Monitor and configure the AI Employee suite: Conversation AI across SMS, web chat,
Maintain and QA Agent Studio agent configurations, including knowledge base connections, node structure, and trigger bindings
Create, deploy, and version snapshots across client niches, noting that pipelines, workflows, forms, and funnel pages are snapshot or UI-only and cannot be created via the public API
Integration development
Build and maintain custom GHL Marketplace apps: register in the developer console, define minimum-necessary OAuth scopes, configure redirect URIs, and manage client ID and secret
Implement and maintain the Authorization Code Grant OAuth 2.0 flow, including access token refresh logic and the agency-to-sub-account token pattern (POST oauth/locationToken) so a single app can manage multiple sub-accounts
Build inbound and outbound webhook integrations between GHL and external tools, handling the documented event categories and payload structures
Develop custom integration scripts and reporting pipelines against the API v2 surface, respecting cursor-based pagination and the per-app per-resource rate limits
Manage Private Integration Tokens (PIT), including the distinction between sandbox PITs for development and production PITs for live sub-accounts
Build and version Agent Studio agents via the agent-studio API where programmatic deployment is preferred over snapshots, using the create, update, publish, and execute endpoints
Configure and manage MCP Server tokens and permission scopes for AI-driven CRM operations
Operations
Document every build, integration, and configuration change using Scribe and file it in Notion
Monitor and resolve workflow errors, Conversation AI trigger failures, and integration or token failures proactively
Perform monthly checks on Google and Zoom integration token expiry to prevent calendar and booking failures
Submit daily and weekly async updates via Notion and Slack
What you need (required)
3–5 years of hands-on GHL experience at both agency and sub-account admin level
Demonstrated experience managing multiple sub-accounts simultaneously
Working knowledge of GHL permission scopes at both agency and sub-account level
Comfortable building and editing workflows in the node-based builder: triggers, conditional branches, wait steps, goal nodes, stop-on-reply settings, and test mode
Solid understanding of the contact record structure: standard fields, custom fields (contact, opportunity, and company level), custom objects, tags, Smart Lists, and lead scoring rules
Experience administering the Conversation AI module: operating modes, knowledge base setup, qualifying questions, stop keywords, message limits, and multi-bot configurations
Practical experience creating, deploying, and versioning snapshots across sub-accounts
Proven experience building GHL Marketplace apps: developer console registration, OAuth scope definition, redirect URI setup, and client credential management
Hands-on experience implementing the OAuth 2.0 Authorization Code Grant flow, token refresh logic, and the agency-to-sub-account token pattern
Demonstrated experience building webhook-based integrations (inbound and outbound) and consuming the API v2 with correct pagination and rate-limit handling
Awareness of the read-only API constraints on pipelines, workflows, forms, and funnel structures, and the snapshot-based replication pattern as the supported alternative
Working knowledge of Private Integration Tokens, including sandbox versus production distinction
Proficiency in a server-side language for integration work (Node.js or Python preferred)
Daily operational experience with Google Workspace and Notion
Prior experience using Scribe or Loom for process documentation
Familiarity with Slack as a primary communication tool in a distributed team
Experience managing shared credential vaults (1Password or equivalent)
ABN registered
Preferred:
GHL certification (Admin)
Experience building and versioning Agent Studio agents via the agent-studio API, including the create, update, publish, and execute endpoints
Experience configuring Marketplace API token setup and permission scopes
Hands-on Voice AI agent setup: voice selection, knowledge base configuration, call actions, and outbound compliance rules (KYC, AI disclosure, scheduling window, 10-calls-per-minute limit
Experience with the full range of calendar types, including Service Menu and Multi-Day Rental
Reviews AI multi-agent setup: personality and tone configuration, star rating assignment, and round-robin rotation
