Full-Time Virtual Operations & Sales Support Coordinator (QuickBooks, Trello, U.S. Night Shift)

If you’re organized, proactive, and enjoy both operations and helping clients, this is the perfect role for you. You’ll be the key connection between our team, our suppliers, and our clients — keeping everything running smoothly.

Responsibilities
• Create and manage purchase orders, invoices, and estimates in QuickBooks Online
• Follow up with vendors for production updates, shipping confirmations, and tracking numbers
• Follow up with clients for estimate approvals, artwork sign-offs, and payments
• Support sales activities — prepare client quotes, follow up on open estimates, and keep client contact info updated
• Communicate daily via
• Keep project boards updated in Trello and maintain organized files in Google Drive
• Coordinate with graphic designers to ensure artworks and proofs are completed on time
• Assist with internal organization, reporting, and pipeline tracking

Requirements
• Excellent English (written and spoken)
• Strong organizational and follow-up skills
• Experience with QuickBooks Online, Trello, and Google Workspace
• Comfortable working 9 AM – 6 PM EST (night shift)
• Friendly and professional communicator — able to follow up with clients and vendors confidently
• Detail-oriented and proactive — doesn’t wait to be told what to do
• Bachelor’s degree preferred
• Minimum 2 years of admin, coordination, or sales support experience

• Interest in sales or account management
• Knowledge of printing or embroidery methods
• Familiarity with order management or e-commerce workflows.
