Full-Time Virtual Assistant – Lead Generation, Digital Growth & Referral Network

Remote | Full-Time | Monday–Friday

Golden Age Allied Health is a fast-growing national multidisciplinary provider across the NDIS, Home Care Packages, and Residential Aged Care sectors. We are seeking a full-time Virtual Assistant to operate our lead generation engine, manage our referral pipeline, and support the growth of our digital presence and inbound referral platform.

This role is ideal for a highly organised, commercially minded operator who thrives in structured, high-output environments and wants to build a scalable national referral network.
This is not an admin role. This is a growth role.

Position Overview
This is a full-time, Monday–Friday remote role.
Your primary responsibility is to generate and manage a consistent flow of high-quality referral opportunities by monitoring online communities, sourcing and qualifying leads, building referral partner pipelines, and maintaining our CRM and tracking systems.
In addition, you will support Golden Age’s digital growth strategy through content creation, community engagement, website optimisation, and automation of our referral and partner acquisition engine.
You will work closely with the Director and Business Development leads to drive national growth.

Key Responsibilities
Lead Generation & Opportunity Sourcing (Primary Focus)
• Monitor ---------- and Home Care Facebook groups, LinkedIn groups, and online forums daily
• Identify posts seeking allied health services (OT, Physio, Psych, Podiatry, Behaviour Support, etc.)
• Capture and record all relevant details (poster name, client info, location, required discipline)
• Identify and log potential referral partners (support coordinators, case managers, plan managers, home-care providers)
• Maintain a daily lead log and CRM
• Provide a daily summary of new opportunities

Lead Qualification & Organisation
• Assess whether each lead matches Golden Age’s service locations and disciplines
• Categorise leads (urgent, routine, complex, facility-based, home-care–based)
• Maintain structured referral pipelines
• Capture screenshots of high-value group requests and referral opportunities

Referral Funnel Management & Conversion Ownership
• Track referrals from first contact through to active referral partner
• Maintain detailed referral partner profiles (services, regions, volumes, preferences)
• Monitor referral pipeline health and conversion rates
• Identify dormant or low-activity partners and support re-engagement campaigns
• Flag high-value partners and high-intent opportunities for Director follow-up
• Maintain a live national referral partner database
• Track referral velocity by source, region, and discipline

Digital Presence & Content Creation
• Support the growth of Golden Age’s digital footprint across Facebook, LinkedIn, and industry forums
• Assist with creating and scheduling:
• Referral partner education content
• Service awareness posts
• Community engagement content
• Recruitment and workforce content
• Monitor group discussions and trending topics to inform content strategy
• Identify thought-leadership opportunities in the NDIS and aged-care ecosystem

Website Management & Optimisation
• Maintain and update the Golden Age website with:
• New services and locations
• Referral pathways and partner information
• Workforce and recruitment pages
• News, updates, and announcements
• Optimise website content for:
• Referral partner conversions
• Client enquiries
• Clinician recruitment
• Ensure enquiry forms, referral forms, and contact flows are working correctly
• Upload case studies, testimonials, and partner content (where approved)
• Assist with basic SEO content (service pages, location pages, blog content)

Systems, Automation & Growth Tooling
• Assist with CRM optimisation and workflow automation
• Build and maintain referral partner databases and tagging systems
• Create and maintain lead and referral dashboards
• Support automated partner nurture campaigns
• Maintain content calendars and scheduling systems
• Improve data capture and reporting accuracy across all growth channels

Business Development Support
• Prepare templated outreach drafts for BD staff
• Compile partner lists and service maps
• Support CRM optimisation and referral workflows

Reporting & Workflow
• Produce weekly reports on:
• Lead volume and quality
• Conversion trends
• Referral pipeline health
• Group activity trends
• Digital engagement metrics
• Recommend optimisation strategies based on performance data
• Maintain strict confidentiality when handling client-related information

Skills & Attributes
• Experience in lead generation, online research, digital marketing, or business development
• Familiarity with the NDIS and aged-care ecosystem is a significant advantage
• Excellent written English and communication skills
• High attention to detail and data accuracy
• Strong organisation and systems thinking
• Proactive, reliable, and able to self-manage full-time remote workload
• Commercial mindset with interest in growth, strategy, and automation

Technical Requirements
• Reliable internet connection and suitable home workstation
• Skilled in Google Sheets / Excel and comfortable learning CRM tools
• Confident using Facebook groups, LinkedIn, and online communities
• Familiarity with content tools such as Canva, scheduling platforms, or similar (advantage)
• Comfortable updating websites (WordPress, Webflow or similar preferred)
