We’re hiring a full-time Virtual Assistant to support the sales and funding operations of a fast-moving U.S. financing company. This role combines three core functions that directly support each other:
- ISO relationship management
- CRM oversight and automation
- Project coordination on existing software/CRM builds

You’ll work directly with the COO to move projects forward, monitor approvals, engage ISOs, and make sure no opportunity is left on the table.
What to Expect in the First Few Weeks: The early stage of this role will focus on cleaning and organizing CRM data, standardizing ISO records, and getting visibility into our existing submissions and follow-up gaps. You’ll lay the foundation for scalable outreach, automated communications, and smarter deal tracking.
You’re helping us move from scattered tools and missed follow-ups to a fully controlled, well-oiled pipeline. As that foundation solidifies, your role will shift into managing scale — higher ISO volume, cleaner automation flows, tighter renewal tracking, and more real-time engagement.
Important:This is not a shallow VA gig. You’ll operate close to live deals, project-manage active agency workstreams, and drive key communication between our internal and external teams. You must be fluent in English, sharp with tech, comfortable with autonomy, and reliable when the stakes are real.
Your Core Responsibilities
-CRM Management: Tag, clean, and structure our CRM (
-ISO Engagement: Within 2 hours of a deal approval, you’ll be responsible for checking in with the ISO, asking if they’re moving forward, and tracking response. You’ll also revive dormant partners and assist with onboarding new ones.
-Project Coordination: Act as project manager for existing CRM and automation builds. You’ll follow up with outside vendors, track deadlines, and keep progress from stalling.
These 3 functions overlap and reinforce each other — this role only works if you’re willing to think systematically and act decisively.
You’ll Also Be Expected To:
Monitor Slack and
Use Zapier, AI tools, and basic automations to reduce manual load and create repeatable communication systems.
Send daily summaries to leadership with clear updates, flags, and opportunities.
-Required Qualifications
*Full-time availability (40 hrs/week) aligned to U.S. Eastern or Central business hours.
*Fluent, natural English — written and spoken.
*Prior experience managing CRM systems (
*Experience using Zapier, AI tools (ChatGPT, Notion AI, etc.), and basic automations.
*Strong organizational ability and follow-through.
*Clear communicator — confident with ISOs, vendors, and execs.
*A mindset of ownership — not waiting, but solving.
