JOB OVERVIEW

We are looking for a highly experienced Executive Assistant to support a busy executive and help keep operations, communication, and follow-ups running smoothly.

This is not a basic VA role.
You will be trusted with real responsibility, decision-making, and ownership.
We are looking for someone who:
Anticipates needs
Manages details without reminders
Communicates clearly and professionally
Wants a long-term, stable role

Key Responsibilities
Inbox & Communication Management

Manage and organize executive email inbox (Gmail)
Prioritize urgent messages and flag important items
Draft professional email responses on behalf of the executive
Follow up on unanswered emails and action items

Accounting & Bookkeeping (QuickBooks)
Manage transactions in QuickBooks Online
Categorize expenses and reconcile accounts
Prepare basic financial reports (monthly summaries)
Coordinate with external accountant/bookkeeper as needed

Sales Follow-Up & CRM Support

Follow up with leads, prospects, or clients via email
Track conversations and next steps
Update CRM or spreadsheets with status and notes
Ensure no leads or opportunities fall through the cracks

Admin & Executive Support
Calendar coordination and scheduling
Task tracking and reminders
Document organization (Google Drive)
Light project coordination as needed

Required Experience & Skills (Important)

Please apply only if you have:

- 3+ years experience as an Executive Assistant or Senior VA
- Hands-on experience with QuickBooks Online
- Strong email writing skills (professional English)
- Experience managing executive inboxes
- Experience with sales follow-ups, CRM, or client communication
- High attention to detail and strong judgment
- Ability to work independently without constant supervision

Schedule & Commitment

Full-time (45 hours/week)
Overlap with US East coast time
Long-term role (we are not looking for short-term contractors)
