JOB OVERVIEW

We are seeking a reliable and professional Administrative Virtual Assistant to support our property management operations. This role is ideal for someone with strong communication skills, real estate/property management experience, and the ability to manage leads, scheduling, and administrative tasks in a fast-paced environment.

The ideal candidate must be comfortable speaking on the phone, handling inbound and outbound calls, qualifying leads, and using property management software such as AppFolio. This position requires working during U.S. Central Standard Time business hours.

Key Responsibilities
Handle inbound and outbound calls with prospects, tenants, owners, vendors, and leads
Respond to new leads quickly and professionally by phone, email, and text
Qualify prospective tenants, owners, and real estate leads based on company criteria
Schedule property showings, appointments, follow-ups, and calls
Maintain accurate notes and records in AppFolio or other property management systems
Assist with tenant communications, maintenance coordination, and general administrative tasks
Follow up with leads and applicants to move them through the leasing or onboarding process
Provide professional customer service and represent the company well on every call
Help organize calendars, reminders, task lists, and daily priorities
Support the property management team with other administrative duties as needed
Requirements
Prior real estate or property management experience required
Experience using AppFolio strongly preferred
Excellent English-speaking and writing skills
Comfortable making and receiving phone calls throughout the day
Strong organizational skills and attention to detail
Ability to work independently and follow processes
Reliable internet connection, computer, and quiet work environment
Must be available to work during U.S. Central Standard Time hours
Experience with lead management, CRM systems, scheduling tools, email, and text communication preferred

You should be able to communicate clearly, follow up consistently, and help convert leads into scheduled appointments or qualified opportunities. Property management knowledge and strong customer service skills are essential for success in this role.
