JOB OVERVIEW

About the Role
We are looking for a skilled, reliable, and proactive Virtual Assistant to provide comprehensive administrative support. You will help manage calendars, emails, social media, expenses, travel arrangements, and various admin tasks for a busy professional.
This is a long-term growth opportunity. We start at approximately 10 hours per week, with the potential to increase up to 20 hours per week (and more as the role and relationship grow). The ideal candidate is highly organized, detail-oriented, able to work independently, and communicates clearly and proactively.
Key Responsibilities
Calendar Management

Manage and coordinate multiple calendars (initially two iCal calendars + one Google Calendar).
Prevent scheduling conflicts and keep everything accurate and up to date.
Schedule travel, dinners, special events, doctor appointments, lunches, meetings, and other commitments.
Share availability calendars to streamline the scheduling process.


Email
Management

Fully manage one person’s inbox (personal and business email accounts).
Prioritize incoming messages and respond in a timely, professional manner.
Required familiarity with Gmail and Outlook.

Social Media Management

Create and schedule engaging content for Instagram, LinkedIn, and Twitter (potential expansion to TikTok).
Develop social media and blog content using tools like Canva.
Use social media management platforms such as Hootsuite or Buffer.
Help build a consistent online presence and support client funnel development.

Expense Tracking

Track business expenses on a quarterly basis using Excel.
Reconcile expenses with receipts and financial records.
Assist with reconciling outstanding invoice payments quarterly.
Knowledge of QuickBooks is a plus (not required).

Travel Booking & Arrangements

Coordinate travel (flights, hotels, etc.) using provided logins and award account numbers.
Book dinners, special events, doctor appointments, lunches, and other one-off meetings.
Ensure all arrangements are timely and efficient.

General Admin Support

Handle various administrative tasks including writing form letters, developing presentations, conducting research, document management, and data entry.
Proficiency in Microsoft Office or Google Workspace is required.

Qualifications & Requirements

Proven experience as a Virtual Assistant or in a similar administrative/executive support role.
Excellent organizational skills, strong attention to detail, and superior time management.

Ability to work independently with minimal supervision while maintaining open communication.
Proficiency with Gmail, Outlook, Microsoft Office/Google Workspace, and basic scheduling tools.
Experience with social media management and tools like Canva, Hootsuite, or Buffer is strongly preferred.
Familiarity with expense tracking (Excel) and travel booking platforms is a big plus.
Detail-oriented, proactive, and able to prioritize effectively in a fast-moving environment.

Additional Details

This is a remote, independent contractor position (hours are flexible within the week but availability for core tasks is important).
To ensure a great long-term fit, selected candidates will be asked to complete a short personality assessment and a skills quiz.
