Role Overview
The Recruitment Specialist will help Ellivia build a deeper, client-ready talent pool as demand grows. You will create clear job descriptions, review resumes and introduction videos, conduct structured screening interviews, and recommend the strongest candidates for the next stage. You will support both general virtual assistant talent-bench campaigns and client-specific openings while keeping every candidate record, decision, and follow-up accurate and current.
Key Responsibilities
Job Description & Campaign Setup
Turn approved role requirements into clear, candidate-friendly job descriptions, target profiles, application questions, and screening criteria
Confirm must-haves, disqualifiers, schedule, tools, compensation range, application requirements, and interview expectations with the recruiting lead
Candidate Attraction & Application Flow
Publish and maintain general talent-bench campaigns and client-specific openings through the ATS and approved sourcing channels
Keep Ellivia's general virtual assistant campaign accurate and engaging so the company can build a strong bench ahead of new client demand
Monitor applicant volume, quality, and source trends, then recommend changes to job posts, targeting, or messaging when the pipeline needs improvement
Application Review & Shortlisting
Review resumes, introduction videos, and application responses for relevant experience, communication, tools, schedule fit, completeness, and overall potential
Advance strong candidates with a concise, evidence-based rationale, and record clear reasons when an application is held or closed
Screening & Candidate Evaluation
Conduct structured 20-30 minute video screens covering experience, strongest skills, communication, motivation, availability, compensation, remote setup, and reliability
Document strengths, risks, and validation items; recommend the best candidates for a leadership interview, an active client role, or Ellivia's talent bench
Pipeline, Handoffs & Candidate Experience
Maintain complete, accurate ATS records, including source, campaign, stage, notes, tags, next action, follow-up date, and hold or closure reason
Coordinate interviews and prepare decision-ready handoffs with the resume, introduction video, screening summary, strengths, concerns, and recommended questions
Communicate promptly and professionally, protect candidate confidentiality, close open loops, and keep talent-bench availability information fresh
Requirements
Must-Have
Demonstrated experience in recruitment, talent acquisition, staffing, RPO, or a high-volume candidate-screening environment
Strong job-description writing skills and the judgment to translate role requirements into clear candidate criteria and screening questions
Experience reviewing resumes, application responses, and candidate videos to identify both strong fit and concerns that require validation
Experience conducting structured video interviews and producing concise, decision-ready screening notes
Comfort working in an ATS, CRM, or recruiting tracker with disciplined recordkeeping, follow-through, and stage management
Excellent spoken and written English for job posts, candidate communication, interviews, internal updates, and handoff summaries
Strong organization, prioritization, attention to detail, and the ability to manage several campaigns and candidate pipelines at once
Reliable full-time availability, a professional remote-work setup, and a proactive, discreet, and candidate-centered working style
Nice-to-Have
Experience recruiting virtual assistants, remote professionals, or Philippine-based talent for U.S. clients
Familiarity with OnlineJobs.ph, social-media recruiting, U.S. time zones, and common virtual assistant tools and role families
Experience building and refreshing a talent bench, using recruiting metrics, and working from templates, scorecards, or recruitment SOPs
