About the Role
We are looking for an experienced Full-Charge Bookkeeper who can independently manage the day-to-day bookkeeping operations of a U.S.-based company.
The ideal candidate is highly experienced with QuickBooks Online/Desktop (QBO, QBD) and understands bookkeeping from end to end — including Accounts Payable, Accounts Receivable, invoicing, reconciliations, financial reporting, and month-end closing.
This is not a data-entry position. We need someone who understands why transactions are recorded a certain way, can identify discrepancies, and can maintain accurate and organized financial records with minimal supervision.
Key Responsibilities
QuickBooks & Bookkeeping
- Manage the company’s bookkeeping activities in QuickBooks.
- Record and categorize daily financial transactions accurately.
- Maintain the chart of accounts and ensure transactions are properly classified.
- Perform bank and credit card reconciliations.
- Review accounts for discrepancies, duplicates, missing transactions, and unusual activity.
- Maintain accurate and up-to-date financial records.
Accounts Payable
- Manage vendor bills and accounts payable.
- Enter, categorize, and track bills in QuickBooks.
- Monitor outstanding payables and payment due dates.
- Verify invoices and supporting documentation.
- Maintain accurate vendor records.
- Assist with payment processing and AP reporting.
Accounts Receivable & Invoicing
- Create and send customer invoices.
- Track outstanding invoices and accounts receivable.
- Apply customer payments accurately.
- Follow up on overdue invoices when required.
- Reconcile customer accounts and resolve discrepancies.
- Maintain accurate customer records.
Month-End & Financial Reporting
- Complete monthly bank, credit card, AP, and AR reconciliations.
- Assist with month-end closing procedures.
- Prepare and maintain monthly financial statements, including:
- Profit & Loss
- Balance Sheet
- Accounts Receivable Aging
- Accounts Payable Aging
- Cash flow reports
- Identify unusual fluctuations and communicate potential issues to management.
- Provide clean and accurate financial information for management and tax/accounting purposes.
Requirements
3+ years of hands-on bookkeeping experience, preferably supporting U.S.-based businesses.
Advanced knowledge of QuickBooks Online/Desktop.
Strong understanding of double-entry bookkeeping and accounting principles.
Strong experience with Accounts Payable and Accounts Receivable.
Proven experience with invoicing and payment tracking.
Strong bank and credit card reconciliation experience.
Experience with month-end closing and financial reporting.
Excellent attention to detail and accuracy.
Strong analytical and problem-solving skills.
Ability to identify errors and discrepancies rather than simply entering data.
Excellent English written communication skills.
Ability to work independently and meet deadlines.
Reliable internet connection and a professional home-office setup.
Preferred Qualifications
Experience working with U.S. companies and U.S. accounting practices.
Experience with service-based businesses.
Experience working with multiple entities or businesses.
Familiarity with payroll transactions and payroll reconciliations.
Familiarity with sales tax accounting.
Experience working alongside CPAs, tax preparers, or CFOs.
QuickBooks Online certification is a plus.
