Role Overview
We are seeking a Fulfillment Specialist to manage our entire project fulfillment pipeline from purchase orders to final installation. This is a crucial, logistics-focused role responsible for ensuring approved products reach client homes flawlessly. You will be the backbone of our operations, maintaining accuracy and efficiency while coordinating with vendors, freight carriers, and installation teams across the U.S.
Key Responsibilities
1. Order & Purchase Order Management
- Place orders with vendors and generate, submit, and meticulously track all Purchase Orders (POs) with 100?curacy
- Reconcile vendor invoices against POs to ensure complete accuracy before payment processing
2. Proactive Tracking & Status Reporting
- Maintain real-time status tracking using Google Sheets and design software platforms
- Actively follow up with vendors to update estimated delivery dates and project timelines
- Flag critical lead time delays at least two weeks in advance to prevent project disruptions
3. Vendor & Logistics Coordination
- Act as the primary point of contact for U.S.-based vendors, freight carriers, and receiving warehouses
- Coordinate and confirm all freight details, shipping schedules, and receiving logs
- Build and maintain strong vendor relationships to ensure priority service and communication
4. Issue Resolution & Problem-Solving
- Efficiently handle all logistics challenges that arise during the fulfillment process
- Resolve issues proactively before they impact project timelines or require escalation
- Maintain professional, solution-oriented communication with all stakeholders
5. Installation Scheduling & Coordination
- Coordinate with receiving warehouses and installation teams to ensure smooth, on-time final delivery
- Schedule installations strategically to maximize efficiency and client satisfaction
6. Process Optimization
- Continuously identify opportunities to improve tracking and communication processes
- Implement systems that increase accuracy, efficiency, and scalability as the firm grows
Candidate Qualifications
- Experience: Minimum 3+ years in procurement, operations, or logistics roles, preferably supporting a U.S.-based design, furniture, or e-commerce business
- Communication: Exceptional verbal fluency with ability to hold complex, professional VOIP conversations with high-end U.S. vendors and partners
- Technical Skills: Advanced proficiency in Google Sheets/Microsoft Excel; familiarity with design software (e.g., Studio Designer, Ivy) is a plus
- Work Environment: Reliable high-speed internet, quiet professional workspace suitable for consistent VOIP calls, and ideally high-quality noise-canceling headset
- Schedule Flexibility: Willingness and ability to work hours with significant overlap with U.S. business time for real-time problem-solving with vendors and warehouses
- Personality & Work Style: Highly detail-oriented, proactive, calm under pressure, and process-obsessed with a focus on preventing errors rather than fixing them
