Front Office Specialist
Location: Remote, Philippines
Schedule: Full-time during United States Eastern Time business hours
About the Role
We are hiring a friendly, dependable, and organized Front Office Specialist to serve as the first point of contact for homeowners and prospective customers.
You will answer inbound calls, understand what each caller needs, capture accurate information, and help qualified customers schedule appointments. You will also return missed calls, respond to messages, update the CRM, confirm appointments, and coordinate with sales and operations.
This is a phone-first role for someone who communicates naturally in English, stays composed during busy periods, and understands that every call shapes the customer’s impression of the business.
What You Will Do
Answer inbound calls promptly with a warm, confident, and professional tone. Identify the purpose of each call and guide the customer to the correct next step.
Collect accurate names, phone numbers,
Schedule estimate appointments in the company calendar and CRM. Select the correct appointment type, territory, representative, date, and time while preventing conflicts.
Return missed calls and respond to voi
Confirm appointments and handle routine cancellations or rescheduling requests. Communicate changes promptly to customers and internal team members.
Answer common questions about services, the estimate process, scheduling, appointment preparation, and next steps using approved information. Do not guess, provide unauthorized pricing, or make promises outside company policy.

What We Are Looking For
You have at least two years of experience in customer service, call-center support, virtual reception, appointment setting, front-office administration, or a similar phone-based role.
You speak clear, professional English and communicate naturally with customers in the United States. You listen carefully, ask focused questions, and explain next steps without sounding scripted or rushed.
You can handle a steady volume of calls while entering accurate information. You can speak, listen, type, review a calendar, and update a CRM without losing important details.
You have experience with CRM, scheduling, call-center, or customer-support software. Experience with home services, construction, property services, or appointment-based businesses is strongly preferred.
You verify names, contact information, service addresses, dates, appointment windows, and notes before saving them. You remain calm with frustrated customers and know when to solve, transfer, or escalate an issue.
You use approved information and do not make promises the company cannot keep. You can follow procedures, meet response-time expectations, maintain reliable attendance, and communicate consistently with a remote team.
You are based in the Philippines and can work United States Eastern Time business hours. You have a reliable computer, quiet workspace, quality headset, stable high-speed internet, backup internet, and backup power.
Preferred Experience
Experience answering calls and scheduling appointments for a United States home-service, construction, fencing, HVAC, plumbing, electrical, roofing, landscaping, or similar business is strongly preferred.
Experience with home-service CRM, scheduling, phone, or call-center platforms is helpful.

Calls are answered promptly and professionally. Missed calls and inquiries receive timely follow-up.
Qualified customers are scheduled accurately, and calendars remain organized without avoidable conflicts.

This Role Is Not a Fit If

Working Arrangement
This is a full-time remote position for a Philippines-based independent professional. You must work the assigned United States Eastern Time schedule and maintain reliable attendance.
