JOB OVERVIEW

LIV Wisconsin Realty is looking for a highly skilled Follow Up Boss expert to manage our lead database, oversee lead handoffs, and make sure opportunities are being properly worked by our agents.

Advanced Follow Up Boss experience is REQUIRED for this position.

We are not looking for someone who has simply worked inside Follow Up Boss or knows the basics. We need someone who is highly proficient in FUB and understands how to effectively manage and troubleshoot an established CRM.

What You'll Be Doing

Our AI technology handles much of our initial lead follow-up and appointment setting. Your job is to take ownership of what happens next.

Responsibilities will include:

Managing and monitoring our Follow Up Boss database on a daily basis
Reviewing lead history, notes, communication, stages, tasks, and activity to understand what is happening with each lead
Managing Smart Lists and using them to identify leads and agents requiring attention
Monitoring the FUB Inbox, tasks, and lead activity
Understanding and working with Automations 2.0
Assigning leads and appointments to the appropriate agents
Making sure agents connect with leads at scheduled appointment times
Following up with agents to determine the outcome of appointments and ensuring those outcomes are properly documented
Monitoring required agent follow-up when an appointment is missed
Reassigning leads or returning them to our AI system when required follow-up is not completed
Identifying leads that are being neglected or are not being managed appropriately
Maintaining accurate stages, notes, tasks, and other CRM information
Troubleshooting FUB issues and helping us maintain clean, effective CRM processes
Identifying problems and recommending solutions rather than simply reporting that something isn't working
Assisting with other lead-management and administrative projects as needed
Follow Up Boss Expertise Is Essential

Our ideal candidate should be comfortable working independently in an established FUB account and should have strong experience with:

Smart Lists
Inbox management
Tasks and task management
Automations 2.0
Lead stages and statuses
Lead assignment and reassignment
Notes and communication history
Agent follow-up and accountability
Database organization and cleanup
Identifying leads that need attention
Understanding how different parts of Follow Up Boss work together

Experience with Ylopo and Fello is a strong plus.

Who We're Looking For

This role requires more than someone who can follow a checklist. We are looking for someone who is sharp, highly organized, proactive, and an excellent critical thinker.

You should be comfortable reviewing the information available to you, figuring out what is happening, determining the appropriate next step, and taking action without needing constant direction.

Have extensive Follow Up Boss experience
Have experience working in the U.S. real estate industry
Understand how real estate leads move through a CRM
Have strong attention to detail
Notice when something doesn't look right
Take ownership of your responsibilities
Follow through until an issue is resolved
Are comfortable holding agents accountable for required follow-up
Communicate clearly and professionally in written English
Can work independently without excessive supervision

This is not a phone ISA position. You will not be responsible for cold calling or converting leads by phone.

Working hours will fall primarily during U.S. business hours.
