Financial Operations Coordinator (Part-Time)
Company: Plush Rose a Blowout Bar Salon Inc.
Location: Remote
Hours: Approximately 15 hours per week
About Us
Plush Rose a Blowout Bar Salon Inc. is an established and growing beauty company based in the United States, with multiple salon locations and plans for continued expansion.
We’re looking for a reliable, organized, and detail-oriented Financial Operations Coordinator to help us stay on top of our daily business finances, expenses, budgets, and financial records.
We already have an accountant and bookkeeper, so we’re not looking for someone to take over those responsibilities. Instead, we need someone who can help us stay organized between accounting periods, keep our financial information up to date, and make sure important details don’t get overlooked.
We’re looking for someone who takes initiative, follows through, and genuinely enjoys keeping things organized.
Key Responsibilities
Expense Tracking & Budget Management
* Review and organize daily business expenses and purchases.
* Ensure expenses are assigned to the correct business location and budget category.
* Update and maintain our budgets in Oliv.
* Monitor spending and identify when expenses are approaching or exceeding budget.
* Organize receipts, invoices, and supporting documentation.
* Follow up on missing information or transactions that need clarification.
Cash Flow & Financial Organization
* Help monitor available cash and upcoming financial obligations.
* Maintain a calendar of bills, recurring payments, and due dates.
* Track expected income and expenses to help us plan ahead.
* Identify potential cash-flow concerns and bring them to management’s attention.
* Keep financial information current so ownership can make informed decisions.
Sales & Reporting
* Review daily sales reports from our salon management software, Meevo.
* Help track sales, deposits, and expenses by business location.
* Identify discrepancies or missing financial information.
* Prepare simple daily and weekly financial summaries.
* Provide clear updates on spending, budgets, upcoming bills, and outstanding items.
Accounting Support & Communication
* Work alongside our existing bookkeeper and accounting team.
* Assist with reviewing and organizing transaction information in Xero.
* Make sure necessary receipts and supporting documents are available.
* Communicate with management when transactions require clarification.
* Follow up on outstanding financial items until they’re resolved.
Systems We Use
Our company currently uses:
* Oliv: Budgeting and cash-flow management
* Meevo: Salon management and sales reporting
* Xero: Accounting and financial records
Experience with Xero is strongly preferred. Experience with Oliv or Meevo is not required, but applicants must be comfortable learning new systems.
We prefer to work with our existing software rather than introduce additional platforms.
Qualifications
* At least 2 years of experience in financial administration, bookkeeping support, expense tracking, or a related position.
* Familiarity with budgeting, cash flow, and basic accounting principles.
* Experience using Xero is strongly preferred.
* Strong attention to detail and organizational skills.
* Comfortable working with spreadsheets and financial reports.
* Good written and verbal English communication skills.
* Ability to manage responsibilities independently and meet deadlines.
* Experience supporting U.S.-based businesses is a plus.
* Experience working with multiple business locations is a plus.
The Person We’re Looking For
We value consistency, honesty, communication, and accountability.
We’re looking for someone who doesn’t need to be reminded constantly to complete recurring tasks. Someone who notices when something doesn’t look right, asks questions when needed, and follows through until the issue is resolved.
You don’t need to know everything on your first day. We’re happy to explain our processes and help you become familiar with our business. What matters most is your willingness to learn, attention to detail, and ability to take ownership of your work.
Schedule & Opportunity
This is a long-term, part-time position starting at approximately 15 hours per week, with the possibility of additional hours as our business grows.
The schedule offers some flexibility, but you should be available for occasional communication during U.S. Eastern Time business hours.
How to Apply
If you’re interested in joining our team, please send us:
1. A brief introduction about yourself and your relevant experience.
2. Your experience with Xero, expense tracking, budgeting, or cash-flow management.
3. Any experience you’ve had working with U.S.-based businesses.
4. Your expected hourly rate in USD and weekly availability.
5. An example of how you’ve helped a previous employer stay financially organized.
Please begin your application with “Plush Rose Financial Coordinator” so we know you’ve read the full job description.
Qualified applicants may be invited to complete a short, paid skills assessment.
We’re looking forward to finding someone dependable who can grow with our company and become a valued part of our team.
