JOB OVERVIEW

About the role

I run a small accounting firm and several other ventures. I need one detail-oriented person watching the money across everything — personal accounts, business accounts, software subscriptions, and bills.

Starting at about 10 hours a week. This is a long-term role for the right person, and there's real room to grow into more hours and higher pay as you take on more.

This is not a general VA role. You will be inside the numbers every week.

What you'll own

Weekly reconciliation across personal and business accounts
Monitoring a dedicated inbox for bills, invoices, renewal notices, and payment failures
Tracking software subscriptions — what we pay, what renewed, what went up in price, what nobody uses
Flagging duplicate charges, price creep, and anything I'm overpaying for
Keeping bill due dates visible so a late fee never happens
Maintaining a simple cash flow forecast so I know what's coming before it lands
Maintaining a debt payoff schedule — payment order and projected clear date
A weekly report I can read in two minutes and act on

How you'll communicate

This matters as much as the bookkeeping. I'm busy and I d ---------- fast. Your reporting must be:

Short. Bullets, not paragraphs.
Visual where it helps. A simple chart or table beats a wall of text.
Decision-oriented. Lead with what changed and what needs my call.
Consistent. Same format every week.

Channels:

Teams is primary choice — daily check-ins, questions
iMessage for urgent items is a major plus; WhatsApp works as the alternative
Video calls with camera on are required. We'll have a regular call to walk through upcoming expenses and decisions. You should be able to talk through numbers live, not just send them.

Requirements

2+ years of bookkeeping or accounts reconciliation experience
QuickBooks Online or Xero — comfortable in at least one
Solid Excel or Google Sheets, including basic charts
Comfortable working across multiple platforms — banking portals, accounting software, email, spreadsheets
Experience with read-only or accountant-view bank access
Extremely organized. Nothing gets forgotten, nothing needs asking twice.
Written and spoken English strong enough for live calls and clean weekly reports
Available for calls during a set overlap window with US Central Time

Nice to have

US-based clients or US bank accounts
Short-term rental or multi-entity bookkeeping
Rocket Money or similar spend-tracking tools
Dashboards in Sheets or Looker Studio

Access and security

Read-only accountant view on financial accounts, plus a dedicated inbox set up for bills only — not my personal email. No bill-pay authority, no shared logins. I take this seriously and expect you to as well.

How to apply

Record a video under 2 minutes, camera on: your name, your bookkeeping background, and a walkthrough of the file you attached.
