We're looking for a highly organised and detail-oriented Finance Virtual Assistant to join our growing team at Plumbing Bros Australia.
This is not just a data entry role. You'll play a key part in ensuring our finance operations run smoothly by managing invoicing, supplier invoices, payroll preparation, and finance administration. Your work will directly support our leadership team by maintaining accurate financial records and keeping our finance processes efficient.
Your Responsibilities
* Prepare and issue accurate customer invoices using Ascora.
* Review job information to ensure invoices are complete and accurate before sending.
* Import and review supplier invoices daily.
* Check supplier invoices for coding, duplicates, pricing, and job allocation.
* Identify and resolve invoice discrepancies.
* Review and validate employee timesheets.
* Prepare payroll information, including hours worked, allowances, and adjustments.
* Manage the finance inbox and respond to internal and supplier enquiries.
* Liaise with technicians, suppliers, and bookkeepers regarding finance-related matters.
* Escalate issues proactively and recommend solutions.
* Maintain accurate financial records and support continuous process improvement.
What We're Looking For:
* Previous experience in Finance Administration, Accounts Payable/Receivable, Bookkeeping, or a similar finance role.
* Excellent attention to detail with a high level of accuracy.
* Experience using accounting or job management software (Ascora or Xero is highly regarded).
* Strong written and verbal English communication skills.
* Able to manage repetitive tasks while maintaining quality.
* Highly organised and able to prioritise multiple tasks.
* Proactive problem solver who takes ownership of their work.
* Comfortable working remotely with an Australian team.
