Role Summary
We’re a small, fast-moving business in the US and are looking for a highly skilled finance leader who can clean and maintain our QuickBooks Online (QBO), provide financial leadership and decision support, and run day-to-day operations by improving and managing end-to-end workflows.
This role is hands-on: you will execute, improve processes, and hold a weekly cadence to keep finance and operations running smoothly.
NOTE: this role is Finance (Controller-level) + Operations daily ownership + advisory, not basic bookkeeping.
Key Responsibilities
A) Finance Ownership (QBO Expert)
-Clean up and maintain QuickBooks Online (QBO): chart of accounts, rules, recurring items, and reporting structure
-Own invoicing/billing standards, categorization, and documentation
-Perform weekly bank/credit card reconciliations and monthly close reconciliations
-Manage A/R and A/P: accurate aging, payment application, vendor balances, scheduling
-Produce monthly financials: P&L, Balance Sheet, Cash Flow, plus commentary
Build and maintain:
cash forecast
Budget vs actual tracking
Margin and cost-driver analysis (COGS, shipping/logistics, overhead
B) Operations Daily Management
-Own daily execution across the workflow (you will manage the system + follow-ups)
-Maintain an operations tracker for orders, invoices, payments, shipments, and exceptions
-Drive SOP compliance across the team (checklists, standards, deadlines)
-Identify bottlenecks and fix them (time-to-invoice, payment delays, shipping issues)
Ad Hoc Task:
C) Workflow Automation & Process Improvement
-Build/maintain automations using Zapier / Make / n8n (or manage a contractor)
-Automate repetitive tasks with controls:
-approvals, exception queues, audit logs
-Improve reporting pipelines (QBO exports ? Sheets dashboards)
Required Qualifications (Non-Negotiable)
8+ years accounting/finance experience, SMB preferred
Proven QBO cleanup experience (not just bookkeeping)
With experience in filing financial reports in US
Strong reconciliation skills (including deposits/undeposited funds)
Ability to explain numbers and advise leadership (cash, margin, budgeting)
Operations/process mindset: SOPs, workflow management, accountability cadence
Strong Sheets/Excel: pivots, lookups, clean dashboards
Work Setup
Full-time, remote (PH-based)
Must overlap with business hours for daily ops coordination
Reports to: Owner/CEO & Director
