???? Role Purpose
The Finance & Operations Manager owns financial visibility, forecasting, and EOS cadence across the company.
They ensure every department’s activities roll up into clear, data-backed insights — driving profitability, efficiency, and accountability.
This role bridges finance (data & reporting) and operations (execution & forecasting) to ensure Lux & Nyx runs smoothly, profitably, and predictably as we scale from a $1M to $3M+ organization.
???? Core Responsibilities
1. Financial Management & Reporting
-Maintain and reconcile QuickBooks Online; ensure P&L accuracy by channel.
-Oversee bookkeeping, AR aging, and monthly financial close.
-Produce monthly reports on revenue, margin, and profit by channel (Retail, D2C, B2B).
-Align with Admin & HR Lead on AP and payroll data.
-Ensure all financial data aligns with operational reports (inventory, production, logistics).
2. Inventory Accounting
-Maintain accurate inventory valuation across 3PL, UCity, and factory locations.
-Record and reconcile inventory movements, including returns and adjustments.
-Allocate landed costs (freight, duty, tariffs) and reconcile to COGS in QuickBooks.
-Produce monthly COGS and Inventory Valuation Reports by SKU and channel.
3. Forecasting & Budgeting
-Lead and maintain the 12-month rolling forecast and annual budget.
-Track forecast vs. actual variances and provide monthly insights.
-Partner with Operations & Logistics Lead on COGS forecasting and landed-cost planning.
-Continuously monitor and report on cash flow runway (12+ weeks).
4. Pricing & Margin Analysis
-Maintain the Pricing Master Sheet (MSRP, Net, Wholesale, MAP tiers).
-Conduct pricing & margin analysis by channel and SKU.
-Integrate tariffs and freight costs into landed cost calculations.
-Build margin simulation tools to help leadership test pricing or cost changes.
5. Systems & Continuous Improvement
-Standardize financial SOPs, naming conventions, and dashboards.
-Automate reporting between QuickBooks, Shopify, and Google Sheets.
-Improve data alignment between Finance, Ops, and Marketing systems.
Maintain a shared tracker of key business filings, licenses, and grants to ensure timely reporting and compliance (in partnership with the Admin Lead).
???? Requirements
Education & Experience
-Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
-5+ years in accounting, bookkeeping, or finance operations (preferably in retail/e-commerce).
-Strong experience with QuickBooks Online and reconciliation.
-Familiarity with Shopify or similar platforms (payouts, returns, tax reporting).
Technical Skills
-Deep understanding of inventory and cost accounting (FIFO, landed cost, freight allocation).
-Advanced Google Sheets / Excel skills (pivot tables, dashboards, variance analysis).
-Proficiency with financial forecasting, budget tracking, and cash-flow modeling.
-Experience automating data between QuickBooks and Shopify (or similar tools).
Soft Skills
- Highly detail-oriented, proactive, and analytical.
- Excellent written and verbal English communication.
- Comfortable collaborating across time zones and departments.
- Familiarity with EOS (Entrepreneurial Operating System) is a plus.
