JOB OVERVIEW

Are you the person who always knows exactly where the money is?

Not because someone asked. Because you can't stand not knowing.

We're a US-based agency looking for a part-time Finance Manager to own our money in and money out. This is about 20 hours a month — roughly 5 hours a week.

Who we are

Formwork is a US agency that runs sales, marketing, and software delivery for construction companies. About ten active clients, a distributed team of contractors, and an internal financial platform we built ourselves.

Why this role is different from most bookkeeping jobs:

Most part-time finance roles are data entry with a nicer title. This one isn't, for one specific reason: the analysis is already automated.

We built an internal financial system that generates the P&L, runs the profitability analysis, produces the AR aging with recommended escalation actions, audits time tracking, and projects labor cost to month-end. You don't build reports. You run the system, judge what it tells you, act on it, and bring the exceptions to the executives.

That's what makes 20 hours a month realistic for a scope this wide. And it's why we can hire someone genuinely senior for part-time hours instead of a full-time junior who'd spend the whole month in spreadsheets.

Why you'll want this role

You report directly to the executives. No middle layer, no committee. You bring the exceptions and the decisions; they handle the calls only you two should make.

Real ownership, not just processing. You'll host our forecasting calls with department heads, set target margins per client service, and enforce budgets. That's a finance manager's job, not a bookkeeper's.

Paid well because we want this to be a long-term relationship, not a stopgap.

It stacks. Five hours a week fits alongside your other clients. We're not asking for exclusivity.

The systems and SOPs already exist. You'll be productive in weeks, not months.

What you'll actually be doing

Accounts Payable

Prepare the contractor payment runs and queue them for approval
Collect end-of-week timesheet approvals from the team, and chase the people who forget
Notify staff of their expected payment dates
Log every AP event on the cashflow calendar

Accounts Receivable

Create and send client invoices on the monthly schedule
Follow up on outstanding invoices and actually collect them
Log every AR event on the cashflow calendar

Forecasting

Host the labor forecast call with department heads twice a month, then update the system
Host the hardware and software forecast call once a month, then update the system
Keep the cashflow calendar current as new information arrives
Update client budgets against the month's scope of work

General Finance

Track subscription changes as they happen
Triage the financials page and QuickBooks Online
Make sure client budgets are actually being followed, and flag overruns before they land
Set the target margin for each client service each month
Work with our outside tax team

You'll crush this role if you...

Are a licensed CPA, or a senior bookkeeper with 5+ years running a full AP and AR cycle

Know QuickBooks Online

Have worked with multiple clients or entities at once (agency, professional services, or outsourced accounting)

Chase things without being asked, because nobody here is going to remind you

Can hold a professional call in English — you'll host recurring calls with department heads and sometimes speak with clients about invoices

Are comfortable saying "that number looks wrong to me" to the person who signs your invoice

Would instinctively verify if a vendor emailed you saying their bank details changed

Actually want part-time work as part of how you've built your career, not as a placeholder until something full-time comes along

Nice to have, not required: experience with a US-based company, familiarity with Wise or other international payment platforms, exposure to construction or professional services accounting.

You avoid conflict, because chasing overdue clients and unresponsive department heads is the job

You need to be told what to do each week

Your spoken English isn't strong enough for a live call with US colleagues

Role details

Type: Part-time independent contractor

Hours: ~20 hours per month (about 5 hrs/week)

Compensation: $600 - $900 USD per month, paid monthly via Wise

Location: Fully remote

Schedule: Flexible, but you must be reachable during a 2-hour daily window overlapping US Central mornings, and available for scheduled forecast calls

Reports to: Managing Partner

Start: As soon as we find the right person

Ramp: Expect 30-35 hours in each of your first two months while you learn the system. Paid accordingly.

Probation: 90 days, with structured check-ins at Day 30, 60, and 90
