About Apex Sports
Apex Sports makes portable at-home training equipment for volleyball, baseball, soccer and lacrosse. We bring the court to your backyard, driveway or home. We're a fast-growing, remote-first team selling on Amazon US, Amazon Canada and Shopify, shipping 50+ containers a year from our factory partner in China.
We run lean and automate before we hire. Most of our operations run through a custom-built Ops App and a library of Claude skills. This role exists because the work below is real, recurring and finally big enough to deserve one owner.
The role
You keep the numbers true and the inventory moving. Three parts: you close the books each month, you operate our demand-planning system, and you execute supply-chain paperwork for our COO. You're the person who notices when a number is wrong before anyone else does.
What you'll own
Monthly close (~40%)
• Close the books in QuickBooks Online by the 7th of each month, for two entities in USD and CAD
• Reconcile every bank and card account: BMO, Wise, Mercury, five Amex cards, PayPal
• Verify A2X settlement postings for Amazon US and CA; book Shopify, Walmart, Etsy and PayPal revenue
• Post landed cost per purchase order (product, freight, duty, broker, 3PL inbound) to QBO and to our SKU unit economics
• Audit vendor invoices against quotes: freight forwarder, customs broker, 3PL, Amazon fee changes
• File Amazon FBA reimbursement claims monthly: lost and damaged inventory, fee overcharges, returns not received
• Prepare the quarterly package and sales-tax exports (GST/HST, US state) for our external CPA
Demand planning operations (~30%)
• Operate the reorder model in our Ops App: keep sales velocity, lead times and stock stages accurate
• Run the weekly reorder review; flag every order-by date at least 3 weeks before it passes
• Draft suggested purchase orders with costing for approval
• Keep the cash projection in sync with PO payment schedules and wires sent
• Maintain data integrity across the app: PO decisions closed out, supplier records clean, SKU specs complete
Supply-chain execution for the COO (~30%)
• Create FBA shipment plans in Seller Central once quantities are approved
• Run our shipment skills: carton-label splitting, shipment bundles, pickup and freight-quote
• Follow up with our factory in China on production status and pickup readiness during their working hours
• Send customs documents to the broker; book inbound with the 3PL; update shipment records
• Track ETAs and flag delays against the reorder plan
What you won't own

• Negotiating with suppliers or freight partners (CEO and COO)
• Tax filings and year-end statements (external CPA — you prepare, they file)

You record, reconcile, prepare and flag. Decisions stay with the people accountable for them.
What we're looking for:
Must have
• 3+ years bookkeeping for an e-commerce or inventory-based business, with month-end close ownership
• Daily QuickBooks Online user; A2X or equivalent marketplace settlement tool
• Amazon Seller Central experience: FBA shipments, settlement reports, reimbursement claims
• Strong Excel or Google Sheets; comfortable with COGS, landed cost and multi-currency
• Comfortable working with Claude or similar AI tools daily — you'll operate and improve our skill library
• Written English clear enough to
• Available 4+ hours overlapping Pacific time (mornings PT), plus flexibility for China-hours follow-up

Location: Remote, Philippines
Type: Full-time independent contractor
Reports to: CEO for finance; COO for demand planning and supply chain
Hours: 40 hrs/week; at least 4 hrs overlapping 8 AM–2 PM Pacific Time
Compensation: USD $–/month depending on experience, paid semi-monthly
Start: As soon as possible; 90-day probation
We're a small, high-trust team. Hours are flexible; being switched on is not. Nobody watches your clock, but if a wire needs recording or a shipment needs chasing, you're on it. You'll get written SOPs and Loom walkthroughs for every recurring process, and you'll be expected to improve them.
