We’re a fast-paced marketing agency (Alaska time zone – 1 hour behind PST) hiring a highly reliable, detail-oriented QuickBooks expert to manage monthly accounting and client billing across multiple accounts.
This role is responsible for organizing vendor receipts and expenses, generating and managing invoices in QuickBooks, and producing clean, accurate monthly invoices for each of Ophira’s clients. You will follow documented video examples and established workflows, but must also take initiative - especially on the 2nd day of each month - to ensure all billing is completed on time without being prompted.
Detailed step-by-step instructions will be provided, upon acceptance of position.
This position requires someone with exceptional integrity, discretion, and accuracy, who understands that financial work demands consistency, ownership, and trust.
This is a hands-on execution role with clear monthly deliverables.
Responsibilities
Manage monthly accounting tasks in QuickBooks.
Generate, organize, and categorize vendor receipts and expenses.
Create and manage invoices from vendors and contractors.
Combine vendor expenses into accurate monthly client invoices, using Adobe Acrobat
Produce and finalize client invoices on the 2nd of each month: final combined client invoices are due in the Drive folder on the 4th of each month.
Follow provided video walkthroughs and billing examples precisely.
Use Google Drive to organize financial documents and receipts.
Use Google Sheets to track expenses, billing status, and reconciliations.
Perform light Photoshop work when needed (e.g. editing or compiling invoice visuals or documentation).
Communicate clearly if discrepancies, missing receipts, or issues arise.
Maintain strict confidentiality and financial integrity at all times.
Required Skills
Strong QuickBooks experience (invoicing, expense tracking, reconciliations).
Experience generating and managing client invoices.
High attention to detail and numerical accuracy.
Strong organizational skills for receipts, files, and records.
Google Workspace proficiency (Google Drive and Google Sheets required).
Basic Photoshop skills (editing, resizing, blurring, combining simple assets).
Ability to follow documented processes and video instructions exactly.
Self-starter mindset with strong monthly initiative and accountability.
High level of honesty, discretion, and professional integrity.
Comfortable working independently and meeting recurring monthly deadlines.
Nice to Have
Experience working with agencies or professional services firms.
Familiarity with multi-client billing structures.
Prior experience handling confidential financial information.
Slack communication experience.
Light bookkeeping or accounting background.
Working Arrangement
Part-time, remote (Philippines).
Must overlap with Alaska Standard Time (1 hour behind PST). Communication must at least partially overlap with 9am-6pm Alaska time, so that we can communicate back and forth. Most of your work can be done on your own time, during your day-time work hours.
Flexible hours, but work must be initiated on the 2nd day of each month without reminders, and final invoices are due to be complete on the 4th day of the month.
