We are seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant to support the CEO in managing day-to-day operations, strategic initiatives, and personal tasks. This is a fully remote role, ideal for someone who thrives in a fast-paced environment and has a passion for helping a growing business succeed. As the right-hand person to the CEO, you’ll play a key role in streamlining workflows, enhancing productivity, and ensuring seamless communication across teams and clients in the landscaping and home services industry.
Key Responsibilities:
• Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements, while prioritizing tasks and resolving conflicts.
• Handle
• Coordinate with internal teams (e.g., field operations, sales, and finance) and external vendors or clients, particularly for project bids, client follow-ups, and service inquiries.
• Prepare reports, presentations, and documents related to business performance, such as client proposals, budget summaries, or seasonal planning for landscaping projects.
• Conduct research on industry trends, competitors, suppliers (e.g., equipment or materials for home services), and potential business opportunities.
• Assist with preparing quotes for services and following up with clients to ensure satisfaction and secure repeat business.
• Assist with personal errands and administrative tasks as needed, ensuring a balanced work-life integration for the CEO.
• Track expenses, manage invoicing, and support basic bookkeeping using tools like QuickBooks or Google Workspace.
• Organize virtual meetings via Zoom or similar platforms, including agenda preparation and follow-up notes.
• Handle confidential information with the utmost discretion and professionalism.
