About ODF

Office Design & Furnishings LLC (ODF) is a commercial furniture dealership serving federal, state, and municipal customers. We develop furniture solutions and coordinate design, product specification, procurement, delivery, and installation.
We are expanding our quote development team and seeking a detail-oriented professional who can turn solicitation requirements, product information, and pricing into clear, accurate, submission-ready quote packages. Previous experience writing U.S. federal government proposals is strongly preferred. The ability to use ChatGPT effectively as part of a disciplined research, drafting, and review process is essential.

About the Role

You will work closely with ODF leadership, designers, manufacturers, and installation partners to develop government quotes from solicitation review through final submission preparation. Your work will help us increase proposal capacity while maintaining technical accuracy, consistency, and responsiveness to each solicitation.
This position combines proposal writing, compliance review, pricing coordination, and document production. Success requires strong writing skills, sound judgment, and the ability to manage multiple deadlines.

Key Responsibilities

• Review solicitations, statements of work, amendments, and Q&As to identify scope, deadlines, evaluation criteria, submission instructions, and required attachments.
• Develop compliance matrices, proposal outlines, clarification questions, and submission checklists.
• Draft and assemble technical narratives, management plans, project schedules, relevant experience summaries, cover letters, and other required responses.
• Coordinate with designers and manufacturers to collect product specifications, typicals, layouts, warranties, certifications, and supporting technical evidence.
• Compare proposed products and configurations against solicitation requirements; identify gaps, discrepancies, and exceptions for resolution.
• Reconcile pricing summaries, bills of materials, quantities, freight, delivery, installation, and other service costs with the proposed scope.
• Maintain alignment between technical and pricing volumes, keeping pricing separate where required.
• Use ChatGPT to organize source information, develop drafts, compare requirements, and support quality reviews.
• Verify AI-generated content against source documents and approved project information before incorporating it into a proposal.
• Maintain organized project files, version control, attachment references, and reusable templates.
• Prepare final packages that follow page limits, file naming requirements, submission methods, and deadlines.

Required Qualifications

• Strong professional writing, editing, and document organization skills.
• Ability to interpret detailed requirements and translate them into clear, supported responses.
• Demonstrated proficiency using ChatGPT for substantive work, including providing context, structuring prompts, refining outputs, and checking accuracy.
• Strong attention to detail with both written content and numerical information.
• Proficiency in Microsoft Word, Excel, and PDF tools.
• Ability to manage several assignments, track outstanding information, and communicate issues before they affect deadlines.
• Willingness to learn commercial furniture products, specifications, and delivery and installation processes.
• Sound judgment when handling confidential business information in AI and other software tools.

Preferred Qualifications

• Previous experience preparing U.S. federal government proposals or quotation packages.
• Familiarity with RFQs, RFPs, technical and price volumes, compliance matrices, and evaluation criteria.
• Experience with GSA Schedule opportunities, GSA eBuy, and ---------- .
• Familiarity with federal contracting concepts such as small-business set-asides, country-of-origin requirements, and Contractor Team Arrangements.
• Experience in commercial furniture, interiors, FF&E, construction, or another industry involving detailed product specifications and coordinated services.
• Experience developing repeatable proposal workflows, templates, or AI-assisted processes.

What Success Looks Like

You produce organized, accurate drafts that require progressively less revision. You identify missing information early, connect proposal statements to supporting evidence, and maintain consistency across the complete package. You use ChatGPT confidently while taking responsibility for the accuracy and quality of the final work.
