JOB OVERVIEW

**Rhythm & Reason Law, APC** is seeking an experienced, highly organized, resourceful, and proactive **Virtual Legal Assistant** for a long-term, full-time remote position.

**Review:** 90-Day Performance Review with opportunity for compensation and professional growth

This is **not a general virtual-assistant or basic data-entry position.**

We are looking for a legal professional who can help make the firm **more organized, efficient, responsive, and productive.**

The ideal candidate has prior experience supporting U.S. attorneys or law firms and understands that excellent legal support requires initiative, accuracy, confidentiality, professional judgment, excellent written communication, and exceptional attention to detail.

**RESPONSIBILITIES**

The Virtual Legal Assistant will assist with:

• Managing and organizing electronic client and matter files
• Maintaining the firm's case-management system
• Preparing professional correspondence, letters, notices, and routine legal documents
• Formatting pleadings, agreements, and other legal documents
• Proofreading documents for grammar, formatting, completeness, and obvious inconsistencies
• Preparing documents and files for attorney review
• Organizing exhibits and supporting documentation
• Maintaining matter task lists, checklists, and workflows
• Monitoring deadlines and assisting with docket and calendar management
• Following up on outstanding tasks, documents, and information
• Conducting basic factual and administrative research
• Uploading and organizing documents in client portals
• Preparing client status communications for attorney approval
• Following up with clients for outstanding documents and information
• Assisting with client intake, onboarding, and matter opening
• Scheduling meetings and appointments
• Preparing internal reports concerning open matters, deadlines, and outstanding tasks
• Assisting with document preparation and electronic filing
• Closing and organizing completed client matters
• Supporting implementation of firm procedures and workflows
• Identifying administrative inefficiencies and helping improve firm processes
• Performing other legal and administrative duties assigned by the Principal Attorney

**SYSTEMS**

The firm utilizes systems including:

• MyCase
• Microsoft Word and Excel
• Gmail / Google Workspace
• Adobe Acrobat Pro
• Electronic client portals and cloud-based legal systems

Experience with **MyCase or another U.S. legal practice-management platform** is strongly preferred.

**QUALIFICATIONS**

Candidates should have:

• Prior legal assistant, legal secretary, paralegal, or comparable legal-support experience
• Strong preference for prior experience supporting a U.S. law firm
• Excellent written and spoken English
• Excellent grammar, spelling, proofreading, and professional-writing skills
• Strong Microsoft Word and document-formatting skills
• Excellent organizational and electronic file-management skills
• Exceptional attention to detail
• Ability to manage multiple matters, assignments, and deadlines simultaneously
• Ability to follow detailed written procedures
• Strong judgment when handling confidential information
• Ability to work independently and proactively
• Ability to identify missing information and potential problems
• Ability to prioritize assignments appropriately
• Reliable computer equipment and internet connection

Experience involving **business law, employment law, civil litigation, contracts, estate planning/probate, real estate, or general civil matters** is a plus.

**THE PERSON WE WANT**

The successful candidate should be able to receive an assignment, understand its objective, review the available information, identify what is missing, follow established procedures, organize the work, and move the assignment toward completion without requiring constant supervision.

We expect thoughtful questions when necessary. However, we also value resourcefulness. Before asking a question, you should review the file, instructions, available resources, and prior communications to determine whether the answer is already available.

We want someone who eventually becomes the person the attorney can rely upon to know:

• What needs to be completed
• What information is missing
• What deadlines are approaching
• What is waiting on the client
• What is waiting on the attorney
• What administrative action should happen next

Professionalism, responsiveness, confidentiality, accuracy, initiative, and accountability are mandatory.

**WORK EXPECTATIONS**

This is a full-time, 40-hour-per-week professional position.

During scheduled paid working hours, you are expected to be actively performing work for Rhythm & Reason Law, APC and available as required by your assigned schedule.


All client information is confidential. Firm and client documents may not be copied, retained, transmitted, or used outside authorized firm systems.
