JOB OVERVIEW

Role (Overview of the Position)
Fertility Friday Publishing — a High-Level Women's Health and Fertility Coaching Business — is currently looking for a FAMM Program Support VA to help our team keep things running smoothly behind the scenes. You’ll support several tea ---------- mbers handling the operational and organizational work that keeps our program and content on track.

This is an execution-focused role. We have established systems and step-by-step processes (SOPs), and your main job is to follow them carefully and reliably, and to keep our files, content, and platforms organized. Thoughtful input is always welcome — if you notice something that could be improved or seems off, we’d love for you to raise it at our tea ---------- etings — but the heart of this role is dependable, accurate execution rather than strategy or big-picture planning.

It’s a great fit for someone who takes pride in reliable, well-organized work, enjoys following a system and getting things exactly right, and likes being the steady person others can count on.


Responsibilities (Tasks Associated with the Role)
- Managing content and materials in Kajabi (our course platform), following our processes.
- Uploading call recordings, generating and cleaning up transcripts, and filing everything where it belongs.
- Keeping our Google Drive, files, and systems consistently organized and easy to navigate.
- Placing translated handout content into our templates and transferring formatting accurately.
- General administrative and data-entry tasks that support the team.
- Helping with website/blog SEO and Google Ads.

Requirements (Expected Proficiencies)
- Experienced as an online virtual assistant (minimum of 2 years) — comfortable working remotely and independently.
- Excellent at following written instructions and SOPs precisely, start to finish.
- Highly organized and detail-oriented — you notice the small things and take pride in getting them right.
- Reliable and accountable — you meet deadlines, communicate clearly, and own your work, including mistakes.
- A try-first problem-solver — when something’s unclear, you research and attempt a solution before asking, then ask a clear, specific question when you genuinely need to.
- Comfortable with structure and systems — you’re happy to work within an established way of doing things rather than redesigning it.
- Fluent enough in written and spoken English for SOPs and tea ---------- etings.
- Experience with AI tools (ChatGPT/Claude/etc).
- Proficient in Canva
- Excel at everyday tools like Google Workspace, Google Sheets, Google Docs, Google Slides, etc,
- Experience with project management software (we use ---------- )
- Experience with Kajabi or similar course platforms
- Experience with Zoom
- Experience with website/blog SEO.

How success is measured in this role:
- Turnaround Time — Assigned tasks (uploads, transcripts, formatting, data entry) are completed within the agreed timeframe, consistently and without reminders.
- Accuracy — Work is completed correctly the first time, with minimal errors requiring correction on review.
- Organization — Files, platforms, and systems are kept current, correctly labeled, and easy for any tea ---------- mber to navigate.
- Responsiveness & Communication — Messages are replied to within 24 hours, blockers are flagged before deadlines are missed, and questions are specific and well-researched before being asked.
