Hi !
We are looking for a high-level Virtual Assistant to support two growing businesses in the construction and decorative finishes industry.
This is not a basic admin role — we are looking for someone who is organised, detail-oriented, and comfortable working with systems, data, and processes.
???? Important: We already have SOPs and training videos in place for our systems. However, it is a strong advantage if you already have experience using some of the tools listed below. Also, you must be comfortable using time-tracking software to monitor tasks and productivity.

Venetian Glow Finishes (VGF)
A Sydney-based company specialising in high-end decorative finishes such as Venetian plaster and microcement for residential and commercial projects.
Pietra Marble Creations (PMC)
Our second business focuses on training courses and product supply for Venetian plaster and microcement systems.
Role Overview
This is a full-time remote position (Monday to Friday, 8 hours per day).
Working hours are flexible, starting between 8:00 am – 9:00 am Sydney time.
You will be responsible for supporting operations, maintaining systems, managing data, and assisting with day-to-day business coordination across both companies.
Key Responsibilities
1. Systems & SOP Management
Follow and maintain Standard Operating Procedures (SOPs)
Help improve workflows and business processes
Assist in creating SOP documentation and training videos
2. CRM & Tools Management
Manage ActiveCampaign (contacts,
Work with tools such as:
Ascora (our job management software)
Square / Stripe
Calendly
OpenSign
Assist with quoting tools and systems
3. Client & Project Coordination
Send quotes, follow-ups, and confirmations
Track project progress and ensure records are updated
Support scheduling and calendar management
4.
Manage and organise 3 business
Respond, categorise, and prioritise
Ensure timely follow-ups and clear communication
5. Training Course Coordination (PMC)
Manage training course spreadsheets and trackers
Send reminders and follow-ups to students
Track leads and course participants
6. Reporting & Spreadsheets (VERY IMPORTANT)
Maintain Excel / Google Sheets
Create and improve project reports (costs, profit, tracking, etc.)
Organise data for better decision-making
???? This is a key part of the role. We are looking for someone strong in Excel and reporting.
7. Inventory & Operations Tracking
Manage inventory using Excel sheets and Square
Track materials, tools, and stock movement
Maintain accurate inventory records
8. Website & Content Updates
Upload content to Squarespace / WordPress
Assist with basic content updates
Required Skills
Strong Excel / Google Sheets skills (must)
High attention to detail
Strong organisation and time management
Good written English
Ability to follow systems and processes

Experience with:
Asana

Squarespace or WordPress
Canva (intermediate level – not basic)
Experience with reporting or dashboards
Experience with document systems (e.g. Xerox)

Must be proactive and able to take initiative
