Hi, I'm Chloe, I run Ecomm CEO, a 6-month coaching programme that helps ecommerce founders scale to consistent $20k months. As the programme grows, I'm looking for a highly organised, tech-savvy Virtual Assistant to support the backend systems, client experience, and sales operations that keep everything running smoothly.
This role is perfect for someone who loves working inside GoHighLevel, is confident setting up automations and funnels without being told exactly how, and takes real ownership of deadlines and follow-through.

???? What You'll Be Doing

Go High Level & Automations / Tech / Sales support
Building and maintaining automations, workflows and pipelines inside GoHighLevel (GHL)
Setting up and managing funnels
Setting up and maintaining systems
Batch creating and scheduling monthly email campaigns (content and copy provided by me)
Supporting the sales process - managing the Scale Plan Session (ie, booked calls) pipeline
Supporting the onboarding/offboarding process
Managing Zapier and integrations
Troubleshooting GHL issues as they come up and flagging anything that needs my input
Setting up and managing Zoom – scheduling calls, uploading recordings, and organising replays for coaching calls

Client success
Ensure clients have access to all replays, announcements, and reminders in Skool
Updating Airtable to track client success
Setting up AI tools, systems and processes to support client delivery and the marketing of ecomm ceo
Creating educational tutorials, resources, and templates in Canva for clients and the programme curriculum
Organising, updating, editing and formatting Google Sheets, Google Docs and Google Forms
Failed payments - Ensure client payments are processed and follow up on failures promptly


Email management to keep clients informed and engaged through regular email communication
Tracking and reporting
Tracking and reporting on KPI data (funnel metrics, email performance, sales call tracking and conversion rates)
Writing and maintaining clear SOPs for recurring processes as the business scales

???? The Ideal Candidate

You're reliable - this is top of my list. I need to be able to rely on you and trust that you will do the tasks within deadline. This is non-negotiable.
You are a detail-obsessed operator who genuinely enjoys systems and backend work.
You take a task, do it, and don't need to be chased for updates.
You're comfortable working independently but you also know when to ask something rather than guess or assume.
You are a lover of learning and you’re hungry to upskill and learn more.

Must-Haves:
Proven, hands-on experience with GoHighLevel – automations, workflows, pipelines, and funnel builds (please detail your GHL experience in your application)
Strong Canva skills, ideally with experience creating educational or tutorial-style content
Confident across the Google Drive suite – Sheets and Docs in particular
Experience tracking and reporting on KPI or performance data
Comfortable managing Zoom for coaching calls, webinars, or client sessions
Strong written English and the ability to write clear, simple SOPs
Excellent communication – proactive, clear, and responsive
Highly reliable and able to consistently meet deadlines without reminders
Comfortable using AI tools (like Claude) to support systems and automations – you don't need to be an expert, but you should have hands-on experience using Claude Skills and Artifacts

Nice-to-Have:
Background or working knowledge of ecommerce (Shopify, Klaviyo, Meta Ads) is preferred but not essential

Starting at 15 hours per week, with scope to grow as the programme scales
Starting as a contractor/freelancer with potential for an ongoing, long-term role
Paid 30-day probationary period with training provided
Opportunity to grow into a more senior operations role as Ecomm CEO scales
Pay $8USD / hour with a 6 month pay review
