JOB OVERVIEW

Experienced Real Estate VA — Leasing & Property Management | Part-Time

Company: New York Online Realty
Location: Remote — Philippines
Engagement: Part-time independent contractor
Pay: $5–$8 USD per hour, depending on experience and demonstrated skills
Schedule: Monday–Friday, 3–7 p.m. New York time — 20 hours weekly
Experience: Minimum three years of relevant real estate/property management experience, including hands-on rental and leasing support

Have you helped a property management company or real estate team advertise rentals, schedule viewings, process applications, and prepare leases? We would like to hear from you.

New York Online Realty is looking for an experienced Real Estate Virtual Assistant to coordinate residential and commercial rentals in New York and New Jersey—from advertising a vacancy through the tenant’s completed move-in.

You will work with our property management team, including team leader Jennie, our local showing contacts, leasing agents when assigned, and our content team, including Scott and Vienna.

We provide property information, photos, videos, approved document templates, and company procedures. You bring experience, clear communication, organization, and dependable follow-through.

YOUR MAIN RESPONSIBILITIES

1. Create and maintain rental ads

Adapt supplied descriptions, photos, videos, and pricing into appealing ads suited to each platform.
Write clear headlines, captions, descriptions, and calls to action.
Publish and update listings on assigned platforms such as Facebook Marketplace, Zillow, ---------- , Craigslist, and commercial listing websites.
Coordinate with our content team for materials and adjustments.
Monitor ad responses and keep pricing and availability accurate.
You need strong writing and content repurposing skills. Advanced graphic design or video editing is not required.

2. Respond to inquiries and schedule viewings

Communicate with prospective tenants by phone, text, email, and platform messaging.
Work alongside GoHighLevel (GHL), automated follow-ups, AI messaging, and AI callers.
Monitor conversations and step in when personal assistance is needed.
Coordinate viewing availability through property management with authorized supers, contractors, team members, leasing agents, or willing current tenants where appropriate.
Confirm access arrangements, schedule appointments, send reminders, and follow up on missed viewings.
Maintain accurate showing calendars and records.
3. Follow up and coordinate applications

Contact prospects after viewings, answer questions using approved information, and guide interested renters to apply.
Review applications against our Buildium checklist.
Request missing documents and clarify incomplete information.
Prepare an objective summary for management’s review.
Submit applications for approval; you will not independently approve or deny applicants.
4. Coordinate approved leases and move-ins

Prepare lease packages using approved templates, terms, and instructions.
Send leases, payment addenda, property management addenda, and other required documents.
Follow up until electronic signatures are complete.
Direct tenants to online payment and verify payment status in the system.
Coordinate authorized move-in dates and key handoffs with property management and local contacts.
Keep notes, documents, tasks, calendars, and team updates complete.
Your responsibility continues through the completed move-in—not simply passing along a lead. Management retains final approval of applicants, terms, concessions, and exceptions.

SECONDARY RESPONSIBILITIES

Once daily leasing priorities are addressed:

Review upcoming lease expirations.
Send approved renewal offers and follow up on tenant decisions and signatures.
Update renewal records and flag expected vacancies.
Review outstanding tenant balances and send approved payment reminders.
Document responses and escalate disputes or payment arrangement requests.
REQUIRED QUALIFICATIONS

At least three years of relevant experience supporting property management companies, real estate companies, or real estate agents, including hands-on leasing support.
Practical experience with Buildium, AppFolio, Yardi, or a comparable property management platform. Buildium is strongly preferred.
Experience with rental advertising, prospect communication, showing coordination, applications, lease documents, and move-ins.
Clear written and spoken English and confidence communicating by phone.
Strong organization, accurate records, and consistent follow-up.
Careful handling of confidential applicant and tenant information.
Reliable computer, internet, headset, and quiet workspace.
Availability for the full regular shift, following New York’s seasonal daylight saving time changes.
Experience with GHL, automation, lease renewals, and balance follow-up is a plus.

HOURS AND GROWTH

The starting schedule is Monday–Friday, 3–7 p.m. New York time.

Depending on performance, experience, and business needs, additional hours may become available, including an earlier weekday start or short weekend shifts around viewings—for example, two hours on Saturday or Sunday.

Additional hours and timing will be agreed in advance. They are not guaranteed, and continuous weekend availability is not expected.

HOW TO APPLY — ANSWER ALL FIVE QUESTIONS

Use the subject: LEASING VA — [Your Name]

Attach your résumé and answer:

1. What relevant experience do you have?
List your roles, dates, property types, approximate number of units supported, and leasing duties you personally handled. Name the property management platforms you used and how long you used each.

2. Can you demonstrate your application-to-move-in experience?
Give a short, step-by-step example of how you helped a renter move from application through signed lease and move-in. Explain the platform used, your personal responsibilities, and what required management approval. A redacted sample is welcome, but a clear written walkthrough is sufficient.

3. Can you adapt supplied information into a rental ad?
Write a Facebook Marketplace headline and a ---------- –100-word description using this fictional listing:

“Two-bedroom apartment, $2,400/month, available December 1, laundry on-site, one parking space included. Viewings Saturday, 1–3 p.m.”

Include a clear next step. Do not invent property features or rental terms.

4. How would you follow up with a prospect?
A prospect viewed an apartment yesterday and says, “I’m interested, but I haven’t applied yet.” Write your reply and explain what you would record and do next. Also include a 60–90-second voice introduction describing your relevant experience.

5. Can you meet the working requirements?
Confirm your requested hourly rate within $5–$8, earliest start date, availability for Monday–Friday, 3–7 p.m. New York time, and any overlapping commitments. Describe your internet backup, GHL or automation experience, and interest in occasional additional weekday or weekend hours.

Do not share confidential employer materials, tenant information, financial records, or login credentials.

Selected candidates will interview with Cory first. Strong candidates will then be invited to a Zoom interview with Mark Arenella, Broker/Owner of New York Online Realty.

If you enjoy helping renters, organizing details, and following a rental through to completion, we encourage you to apply.
